Proactively provide a range of Executive administrative support for the GE Vernova Chief Procurement Officer as well as coordination / support, as needed, for the Sourcing staff/ Senior Leadership team members.  Independently execute all assigned responsibilities and effectively balance the needs of multiple individuals.   Operate as part of a team that works together and provides back-up support to other administrative staff as needed.  

This is a hybrid position with a required minimum of two days in the Atlanta office and additional days in office, as needed.  Availability during outside typical business hours for travel and/or time sensitive business needs may be needed.

Essential Responsibilities:  

  • Proactively support the assigned leader and team by independently executing all responsibilities while successfully balancing the needs of multiple Sourcing staff/ Senior Leadership team members  
  • Prioritize, maintain, and organize extensive and complex, global calendars, schedule appointments and meetings (including both on-site and off-site conference arrangements), arrange end to end global travel schedules, travel itineraries, air, hotel, and ground transportation, manage international visa and right to visit documents, reconcile T&L expenses.   Work with others to organize meetings with multiple attendees across different geographic locations in the most efficient way.  
  • Manage Annual Engagement Matrix including: 1:1 mentor, leadership team, Sourcing Council, and other rhythmic meetings as required.
  • Proactively look ahead at calendars/schedules to identify conflicts, judge efficiency, and suggest adjustments.
  • Maintain distribution list, craft communication for organizational announcements, draft and manage social media posts (Example: LinkedIn in partnership with Comms team)
  • Schedule, plan, and organize all logistical details for in-house and off-site meetings, etc., as needed.  
  • Schedule, plan and organize all event planning for monthly supplier conferences as well as regional conference with 15-200 suppliers: travel with executive, as appropriate. 
  • Manage a range of general administrative services including documentation management/file set up and maintenance, invoice processing, etc.  
  • Anticipate, identify, analyze, and solve issues/conflicts independently and discretely.  
  • Manage Workday transactions in coordination with HR partner. 
  • Communicate professionally with internal and external persons, at times acting as first point of contact to executive leader and/or staff making interactions positive experiences.   
  • Manage confidential data and matters discreetly and professionally.   
  • Create and manage purchase orders as needed; manage outgoing shipments as needed. 
  • Maintain gratitude plan with communications for moments that matter (i.e., birthdays, anniversaries, major life events for team) 
  • Work as a collaborator with other assistants and teams.  
  • Special projects as required.  

Qualifications/Requirements:  

  • Bachelor’s degree or High School diploma and five years’ work experience, or equivalent experience/ knowledge
  • Outstanding interpersonal and relationship building skills across multiple cultures.
  • Strong experience supporting global executives.
  • Minimum three years’ experience in event planning, administrative support, or complex project management or equivalent experience 
  • Ability to successfully organize and execute details in a fast-paced, ever-changing, environment.   
  • Ability to successfully manage competing priorities.   
  • Highly results driven with exceptional follow-through.   
  • Strong experience in Microsoft Office, specifically Outlook, Teams, Word, Excel, and PowerPoint
  • Passion for continuous learning
