About the role

The Wistar Institute is seeking an Administrative Coordinator for our new Center for Advanced Therapeutics (“The Center”). The Center will consist of six research laboratories focusing on early-stage drug discovery in cancer and autoimmune disease. The core scientific objectives of the Center for Advanced Therapeutics will be to facilitate collaborative research in biomedicine and computational, artificial intelligence (AI)-driven systems.

The Administrative Coordinator is a front-facing position reporting to the Director of The Center whose job responsibilities include welcoming guests to The Center as well as providing secretarial, administrative, purchasing, and laboratory management support to Center faculty and members.

The successful candidate will serve as a key resource for new and current laboratory members by providing essential information and guidance related to The Center, laboratory, and institutional policies, practices, and operations. The individual will manage the Center Director’s calendar, coordinate schedules for conferences, meetings, and appointments, as well as oversee travel arrangements (transportation, reservations, itineraries, and reimbursements). Additionally, the Administrative Coordinator manages the regular Center meeting schedule and prepares a variety of documents including correspondence, memoranda, journal reviews, and other documents as requested. The role also includes assisting with the recruitment process for new Center faculty and personnel with resume review and interview coordination.

The ideal candidate will have prior experience and demonstrated success working in a front office position in an academic environment and display excellent attention to detail, good judgment, awareness of the need to serve as a first-person of contact for the Center, the ability to work independently with limited direction, demonstrate initiative, strong interpersonal skills, excellent written and verbal communication skills, and excellent organization.

High school diploma or equivalent required. Bachelor’s degree preferred. Candidates with a minimum of 3 years of high-level secretarial/administrative experience and a proven level of responsibility are strongly preferred.

The Wistar Institute is located in the University City area of Philadelphia, in the heart of the University of Pennsylvania Campus. The new HIV Cure and Viral Diseases Center will be located at The Wistar Institute North location at 3675 Market Street.
