Each individual plays a critical role in our success!   We are seeking a professional and discreet Executive Administrator to provide high-level support to our executive team. This role requires exceptional organizational skills, sound judgment, and the ability to anticipate needs in a dynamic and evolving environment. Salary Range: $28-$30 hourly




Key Role Responsibilities


  • Project Management
    • Coordinate and oversee projects on behalf of leadership, tracking timelines, deliverables, and resources to ensure successful completion.
    • Facilitate cross-departmental communication to align project goals and ensure project tasks are progressing as scheduled.
    • Prepare and present project updates, providing leadership with clear visibility on project status and outcomes.
    • Support corporate initiatives (e.g., company culture, development, technology rollouts, etc.) in line with executive goals.
    • Prepare briefing documents, background information, and data summaries to support executives' decision-making.
    • Support special projects, ensuring timelines and deliverables align with executive goals, and handle confidential information with discretion.
  • Document Management; Transaction Support
    • Collect signatures, receive and file documents, and maintain organized records of critical documents.
    • Support ongoing transactions by calendaring deadlines, tracking and filing deliverables, collecting signatures, drafting and proofreading documents and correspondence, and coordinating couriers and document deliveries. 
    • Ensure that key documents are accessible, up-to-date, and securely stored in both physical and digital formats.
    • Maintain an organized filing system for all records, and manage document workflows in line with company policies and confidentiality requirements.
    • Coordinate complex calendars, schedule meetings, arrange travel, and handle confidential communications for executives and high-profile clients.
    • Plan high-level events such as company retreats, strategy sessions, or executive dinners, handling all logistics and ensuring a seamless experience.
    • Coordinate the onboarding process for new C-suite hires, ensuring they have everything they need to transition smoothly.
    • Draft and review internal and external communications, including announcements, reports, and memos, on behalf of executives.
    • Manage interactions with high-profile clients, board members, and other VIPs, coordinating hospitality and ensuring a positive experience.
    • Liaise with public relations or marketing teams to help manage executive appearances, media requests, and official statements.
  • Office Management
    • Oversee day-to-day corporate office suite functions, ensuring an organized, professional environment.
    • Manage office supply inventory, office equipment maintenance, and vendor coordination.
    • Supervise and manage the front desk team to ensure efficient customer service and adherence to company standards.
    • Train, schedule, and support front desk staff to provide excellent administrative support.
    • Monitor front desk procedures, ensuring smooth workflow, visitor management, and timely responses.
  • Financial Liaison
    • Act as a contact between the leadership/owners and the accounting department for financial requests.
    • Assist in processing financial documents, including requests, reimbursements, and expense reports.
