JOB DESCRIPTION SUMMARY
The Office Assistant provides vital administrative and on-site support to ensure the smooth operation of the MCC Business Development Center, with a primary focus on supporting Business Development Instructors during classes held at the MCC Ashton location. This part-time role serves as a welcoming and resourceful point of contact for students, instructors, and guests, while also managing daily office activities, coordinating communications, and maintaining organized systems for records, meetings, and events.ESSENTIAL POSITION FUNCTIONS:
- Serve as the primary support contact for Business Development Executive Director, Director and Instructors. Assist with classroom setup, attendance tracking, technology needs, and student questions.
- Manage the Center’s calendar, including scheduling and confirming meetings, one-on-one consultations, and events.
- Manage incoming and outgoing phone calls, emails, and mail. Ensure timely and accurate communication with instructors, students, and staff.
- Maintain accurate digital and paper records, including class rosters, student documentation, and instructor files.
- Prepare meeting materials, set up rooms, distribute agendas, and take meeting minutes.
- Assist with logistics for workshops, seminars, and instructor gatherings—handling registration, space reservations, and communications.
- Greet and assist all visitors to the MCC Business Development Center in a professional and welcoming manner.
- Support the Executive Director in compiling data and preparing reports on center activities, student engagement, and budget updates.
- Maintain office supply inventory and equipment; coordinate with IT and Facilities as needed.
- Attends work activities or programs as scheduled or assigned.

- Comfortable providing direct assistance to instructors in real-time during class operations.
- Ability to coordinate tasks and manage scheduling priorities effectively.
- Clear, professional verbal and written communication across diverse audiences.
- Welcoming and solutions-focused approach to assisting students, instructors, and guests.
- Detail-oriented with the ability to manage records, schedules, and event logistics efficiently.
- Skilled in Microsoft Office, Outlook, and platforms such as Colleague, Workday, and Unity.
- Able to handle sensitive information with integrity and professionalism.
- Flexible and resourceful in a dynamic, fast-paced educational environment.
- Experience supporting internal events and meetings, from planning to execution.
- Ability to track, compile, and present relevant data and reports.
- Ability to effectively work and interact with various cultures and ethnicities.
MINIMUM QUALIFICATIONS FOR EDUCATION AND EXPERIENCE:
- High School diploma (or GED).
- Three (3) years’ work-related experience in a clerical support environment.
- Equivalent combination of education and/or work experience considered.
- Ability to travel between campuses for meetings or position responsibilities.
- Must pass background check.
SCHEDULE: Hours- 12:00 pm -5:30 pm Monday- Thursday and Friday 12:00 pm - 5:00 pm
