Overview and Responsibilities
The Campus Assistant – Manufacturing & Engineering Campus provides administrative support for CVTC’s Manufacturing and Engineering Campus and assists students and other customers as the first point of contact for the campus. Additional duties include scheduling, registration, financial reporting, facility coordination, public relations, supporting programs and Workforce Solutions & Continuing Education contracts within the division.
Responsibilities:
- Demonstrate commitment to customer service standards by greeting and assisting students, employers, and other campus customers in person and via phone and email.
- Provide general clerical support for the campus, campus staff, faculty, and adjunct instructional staff.
- Perform administrative and minor decision-making tasks in the absence of Dean/Campus Manager.
- Perform facility-related duties to include, but not limited to, opening/closing the building, assisting with minor multimedia issues in classrooms, and acting as point of contact for maintenance and facility related issues and incident reporting.
- Serve as campus scheduler, including scheduling campus events, updating calendars for all rooms on campus monthly, and maintaining message board in lobby with campus events.
- Assist students and employers with registration and general course offering information and communicate changes in class schedules.
- Open, balance, and close cashiering sessions. Process student account payments and maintain financial records.
- Provide administrative support for Workforce Solutions contract training (e.g., room reservations, catering orders and delivery arrangements).
- Serve as proctor for National Institute for Metalworking Skills (NIMS) and Manufacturing Skills Standards Council (MSSC) testing.
- Coordinate locker rental, distribution, and maintenance.
- Order office supplies and process purchase orders for campus staff and tenants.
- Ensure materials are current and supplied within lobby, office, and breakroom areas (e.g., college catalogs, magazines, flyers, forms, office/break supplies).
- Provide backup assistance to other regional campus assistants.
- Provide purchasing support for the Manufacturing and Engineering Campus and support to faculty making program purchases.
- Prepare and gather documents, supplies, and materials for K12 events.
- Provide support to K-12 for completion of special projects and other administrative support as needed.

- Adapt to and learn new technology and software as needed; Intermediate knowledge of and skills with software programs for communication, data collection, and decision making including, but not limited to, Microsoft Office Outlook, Word, and Excel; Lumens; QuickBooks; and Banner.
Qualifications
- Associate’s degree from an accredited college in Executive Assistant or related program with specialized training in areas such as customer service, office technology and/or project management required.
- Minimum of two years of experience in a professional office setting required.
