Position Summary
The Workday Workforce Data & Positions Administration Specialist is responsible for the day-to-day operational processing of workforce data and position administration in Workday, ensuring accurate, consistent, and timely execution aligned with global standards and documented procedures.
The role is the primary executor for standard operational requests (data entry/maintenance, validations, routine checks, reconciliations support, and reporting extracts), while escalating policy questions, unclear decision points, and data model changes to the Workday Data & Position Governance Lead. The role supports data integrity, compliance, and reliable downstream use (e.g., reporting and interfaces) through disciplined processing and routine quality controls.
Key Responsibilities
1) Day-to-day Workforce Data Administration (Workday)
- Execute standard workforce data maintenance in Workday (create/update/correct records) based on approved requests, standards, and documented procedures.
- Process requests through agreed channels (ticketing/case management), ensuring complete documentation, correct prioritization, and timely turnaround.
- Investigate data discrepancies and workflow issues; resolve within scope and escalate complex topics or recurring root causes to the Lead and/or HRIS/IT support teams.
2) Day-to-day Position Management Administration (Workday)
- Execute standard position administration in Workday (create, update, maintain, and close/freeze positions) in line with lifecycle rules and approvals.
- Maintain position-related attributes as required (e.g., organizational alignment, job profile, location and other in-scope position fields), ensuring traceability and audit readiness.
- Support reorganizations and structured data change events by preparing data inputs, completing assigned transactions, and performing validation checks after changes (under Lead guidance).
3) Data Quality Checks, Controls & Corrections
- Run routine data quality checks (completeness/accuracy/consistency) and execute corrective actions within scope; document recurring issues and propose improvements to prevent rework.
- Support periodic reconciliations and data validations with HR Operations/Finance/HRBPs by preparing extracts and ensuring Workday records match approved changes.
- Maintain discipline on approvals, audit trails, and standard work instructions; ensure sensitive data is handled appropriately.
4) Reporting & Data Extracts
- Produce routine operational reporting and extracts related to workforce data and positions (e.g., open/filled positions lists, exception lists, data quality trackers) using Workday reports and agreed templates.
- Support ad hoc data requests by clarifying requirements, delivering outputs, and ensuring confidentiality and appropriate access controls.
5) Documentation, Support & Change Delivery
- Maintain and improve work instructions, checklists, and reference guides for day-to-day processing; highlight where rules are unclear or inconsistent.
- Support testing and validation activities for system updates and process changes that affect workforce data or position management (including updating documentation after changes).
- Provide practical user support to stakeholders (HR Services/HRBPs/Finance) on “how to” execution within the defined standards (without redefining standards or decision rules).
