Description

Summary: The Assistant to the Chief Medical Officer (CMO) provides high-level administrative and operational support to the CMO, ensuring the smooth execution of clinical and strategic initiatives in a community health center setting. This role involves managing schedules, coordinating projects, assisting with compliance and quality improvement efforts, and supporting community outreach programs. The ideal candidate is highly organized, detail-oriented, and committed to the mission of providing equitable healthcare to diverse populations, including the uninsured and underinsured.

Duties and Responsibilities: The authority and duties of the Assistant to the CMO shall include but not be limited to:


Administrative & Scheduling Support

  • Manage the CMO’s calendar, schedule meetings, and handle correspondence
  • Prepare reports, presentations, and documents for internal and external stakeholders
  • Maintain confidential medical and administrative records
  • Coordinate travel and logistics for the CMO
  • Organize and maintain confidential files, including medical and administrative records.
  • Handle internal and external communications, including emails and phone calls.
  • Assist in drafting policies, procedures, and protocols.

Clinical & Operational Support

  • Assist with tracking and implementing quality improvement initiatives
  • Coordinate medical staff credentialing, licensure, and compliance requirements
  • Organize clinical protocols, policies, and procedures
  • Support the CMO in developing and maintaining relationships with healthcare providers
  • Support quality improvement initiatives and track key performance indicators.
  • Help coordinate clinical workflows and process improvement projects.
  • Collaborate with department heads to ensure smooth clinic operations.
  • Monitor regulatory compliance, ensuring adherence to healthcare policies.

Compliance & Data Management

  • Support audits and accreditation preparation efforts
  • Maintain accurate documentation related to medical and operational compliance
  • Gather and analyze data related to patient care, quality metrics, and clinical outcomes.
  • Assist in grant reporting, research projects, and program evaluations.
  • Maintain dashboards for tracking patient care statistics and operational efficiency.

Community & Stakeholder Engagement

  • Support community outreach efforts, health education programs, and partnerships
  • Support initiatives aimed at addressing healthcare disparities and improving patient outcomes

Special Projects & Strategic Initiatives

  • Support implementation of new healthcare programs and services
  • Assist in provider recruitment efforts and workforce development initiatives
  • Prepare agendas, take meeting minutes, and follow up on action items.
  • Assist in coordinating medical staff meetings, training sessions, and community outreach events.
  • Assist with community engagement initiatives and public health programs.
  • Support the implementation of new healthcare technologies and electronic health record (EHR) updates.
  • Act as a liaison between the CMO and external partners, including government agencies and healthcare networks.
  • Handle special assignments as delegated by the CMO.


Requirements

  • Education: Associate degree in healthcare administration, public health, business administration, or a related field (or equivalent experience)
  • Experience: 2+ years of experience in healthcare administration, medical office management, or a similar role; experience in a community health center is a plus

Skills:

  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and electronic health records (EHR) systems
  • Ability to handle confidential information with discretion
  • Knowledge of healthcare regulations and compliance standards
  • High level of analytic ability to concentrate and pay attention to detail.
  • Substantial interpersonal skills necessary to instruct patients and their families and to collaborate with health team members and to effectively communicate verbally and in writing.
  • Ability to read, comprehend and transmit detailed instructions, in order to plan and perform job duties.
  • Ability to concentrate and pay close attention to details; also, ability to organize, prioritize, and work independently, as well as schedule and produce in a timely manner.
