Senior Lease Administrator -Corporate Real Estate & Facilities

Location: This is a Hybrid role out of Newport News, VA Headquarters. 3 Days in Office (usually Tues, Wed, Thurs) and 2 Days Remote (usually Mon, Fri)

Primary Job Duties and Responsibilities

  • Maintain and update lease records, including lease abstracts, critical dates, and payment schedules, ensuring data accuracy and compliance.
  • Review, interpret, and abstract lease agreements and related documents.
  • Conduct peer-to-peer reviews of data entry for accuracy.
  • Ensure timely payment of rents, taxes, and other financial obligations as outlined in lease agreements.
  • Track critical dates such as lease renewals, expirations, and amendments, and provide interested parties with advance notice and recommendations for action.
  • Serve as the main point of contact for landlords, tenants, and internal teams regarding lease-related inquiries and issues.
  • Collaborate with Real Estate, Finance, Legal, and other teams to ensure seamless lease administration processes, and provide guidance as needed.
  • Exercise proper judgment in resolving issues, recommend policy updates, and participate in strategic planning related to lease management.
  • Generate regular reports on lease performance, financial obligations, and portfolio metrics.
  • Operate or review SOX controls, and assist in lease related audits and compliance reviews, identifying and addressing discrepancies.
  • Coordinate the execution of new leases, renewals, terminations, and amendments.
  • Review and prepare payment schedules, one-time payments regarding property tax management, and recurring rent payments including operation charges, reconciliations, rent/CPI increases, and any other charges to rent due to expansions, reductions and terminations.
  • Leverage lease administration technology, including creating dashboards, analytics, and reports to monitor portfolio performance.
  • Build and maintain positive relationships with internal Real Estate and Facilities teams, as well as external partners.
  • Lead by example and model behaviors to achieve team and department goals, while influencing others to embrace a different point of view while being guided by policies and department plans.

Preferred Education and experience

  • At least 3+ years of experience, with a proven track record in lease administration, real estate, or property management.
  • Experience managing lease administration operations and real estate finance a plus.
  • Familiar with SOX Compliance requirements regarding lease administration.
  • Bachelor’s degree in Real Estate, Business Administration, Finance, or a related field.
  • Familiarity with accounting principles related to lease administration, such as ASC 842
  • Strong understanding of lease agreements, legal terms, and real estate practices.
  • Exceptional attention to detail and accuracy in data management.
  • Proficiency in lease administration software and tools, including experience with CoStar and Lucernex.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong communication and interpersonal skills to collaborate with diverse interested parties.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Strong technical skills for data reporting and visualization, proficiency in Excel, and basic Power BI knowledge.
