Location
This position is a full-time office-based position and is based in our Austin, TX office.
Position Summary
The Executive Assistant (EA) will provide a full range of administrative support to executive leadership and functional staff including, but not limited to: calendar management; travel arrangements; drafting documents, spreadsheets, and presentations; prepare for and support meetings, including Board Meetings and Desks preparation; and act as the main point of contact for administrative team needs. The EA will handle sensitive and fast-paced correspondence and be expected to maintain discretion and respond quickly to evolving events and meetings with multiple stakeholders. Finally, the executive assistant will provide day-to-day office management to include visitor engagement.
Job Responsibilities

- Provide full range executive administrative support, executive leadership, and the local team in Austin, TX
- Provide administrative support to team members including managing calendars and commitments
- Support various internal Desk Meetings; the CEO’s EA; and Board of Director Meetings as needed
- Provide day-to-day management of the office and engage with external vendors as necessary
- Act as the point of contact among leaders, employees, clients, and other external partners and visitors
- Manage assigned information flow and look for ways to improve current systems
- Make travel arrangements and detailed travel itineraries; Process expense reports as requested
- Produce documents, spreadsheets, presentations, and reports; Prepare information for meetings and other events as requested
- Support and often-times manage company local events (onsite and offsite)
- Research, evaluate, and recommend products and services as needed
- When necessary, travel and manage local and non-local executive level and BOD meetings
Requirements
Knowledge, Skills, and Abilities (KSAs)
- Bachelor’s degree in related field plus four years as an executive assistant including prior experience supporting C-Suite staff (may substitute additional years of direct experience for the education requirement on a 1:1 basis)
- Technical savvy in MS Office with strong knowledge of Outlook, Word, Excel, and PowerPoint
- Professional level experience with general office management and equipment/services
- Desire and ability to assess, optimize, and implement new tools as needed; Ability to provide recommendations on process improvement and optimization, and implement as approved
- Excellent time management and interpersonal skills with the ability to meet deadlines and help those you partner with also stay on track
- Demonstrated ability to learn new and complex topics quickly
- Demonstrated ability to work and communicate with all levels of an organization; Professional-level communication skills, including verbal, written, and presentation skills
- Demonstrated ability to work comfortably in a highly collaborative, cross-functional, and team-oriented environment
- Desire and demonstrated ability to thrive and produce results in a fluid, dynamic, and fast-paced environment
- Passion for solving problems and challenges in a highly technical and scientific environment
- Ability to travel domestically and (potentially) internationally up to 20%
