Senior Legal Executive Assistant
What you will do
Let’s do this. Let’s change the world. In this vital role you will provide comprehensive support to the Vice President of Law, Corporate Litigation (VP), and the Corporate Litigation Group generally. The ideal candidate will possess excellent organizational and communication skills, ability to anticipate business needs, and proficiency with the Microsoft suite of software. The successful candidate will handle complex assignments with discretion, attention to detail, tact, judgment, creativity, and initiative.
Responsibilities:
- Manage domestic and international travel arrangements, including flight bookings, hotel accommodations, and ground transportation.
- Process expense reports ensuring compliance with company policies
- Maintain calendars and ensure appointments and meetings are scheduled efficiently.
- Organize and coordinate logistics for group and case related meetings including arranging venues, equipment, and catering.
- Assist in the preparation and distribution of meeting agendas and follow-up actions.
- Conduct factual research and gather information as requested.
- Handle ad-hoc administrative tasks and provide support to other members of CLG as needed, including notifying attorneys and staff of upcoming deadlines.
- Assist with the preparation, editing, and formatting of legal documents, reports, and presentations.
- Coordinate projects as needed.
- Prepare and update the budget for the Corporate Litigation Group, which requires expertise with Microsoft Excel.
- Prepare accruals for the Corporate Litigation Group including outreach to law firms and vendors.
- Maintain the Corporate Litigation Group SharePoint site.
- Act as primary contact on behalf of the Corporate Litigation Group with Finance, Law Operations and various other departments and groups. Collaborate with external stakeholders to ensure smooth coordination of projects and initiatives.
- Maintain confidentiality and handle sensitive information with absolute discretion.

Basic Qualifications:
Associate’s degree and 4 years of administrative support experience
Or
High school diploma / GED and 6 years of administrative support experience
Preferred Qualifications:
- Experience as an executive assistant supporting senior executives.
- Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
- Proactive thinking and the ability to anticipate business needs and requirements.
- Proficiency in the Microsoft Office suite (Word, Excel, PowerPoint, Outlook, Teams and One Drive) and other relevant software.
- Strong communication skills, both written and verbal, with the ability to interact professionally with stakeholders at all levels.
- Attention to detail and accuracy in all work, with the ability to maintain confidentiality.
- Excellent problem-solving skills and the ability to work independently and collaboratively.
- Strong interpersonal skills, with the ability to build and manage relationships with key stakeholders.
- Flexibility and adaptability to changing priorities and deadlines.
- Knowledge of legal terminology is a plus.
- Bachelor's degree or equivalent experience.
