Title: Registration Supervisor
Department: Front Desk
FLSA: Hourly, Non-Exempt
Location: Able to work at any of the SBO locations or remotely if needed.
Reports to: Clinical Director(s) and Executive Director
Supervises: Registration Front Desk Personnel
Job Summary
Responsible for the operations of the front desk teams in all the South Bend Orthopaedics locations.
Essential Functions
- Oversee the daily clinical registrations operations of all SBO locations ensuring the workflow runs effectively and efficiently.
- Assures the confidentiality of all patients’ information in compliance with HIPAA.
- Must provide leadership to clinic front desk personnel.
- Ensure the company has enough personnel to keep up with the demands of the company.
- Completes schedules, approves time cards, manages time off requests.
- Communicate with the Director regarding any disciplinary action needed.
- Demonstrates sound judgment by taking appropriate actions regarding findings or concerns that could come from patients or personnel.
- Consistently demonstrates ability to respond to changing situations in a flexible manner to meet current needs, such as reprioritizing work as necessary.
- Attend department, clinic or company meetings as required.
- Consistently works in a positive and cooperative manner with staff members, patients, management team and the public.
- Demonstrates knowledge and understanding of all company policies and procedures. Adheres to established facility safety requirements and procedures to ensure a safe working environment. Identifies potentially unsafe situations and notifies Directors.
- Conduct quarterly staff meetings.
- The front desk supervisor reflects the company, must be and look professional when dealing with the public, patients, physicians, and team members.
- Must be able to read and run reports using the company’s software systems.
- All other duties as assigned.
Skills and Abilities
- Ability to communicate clearly and possess excellent phone skills to establish/maintain cooperative relationships with her/his team, patients, physicians, staff members and public.
- Navigation and comprehension of the company’s software systems.
- Must maintain knowledge of clinic, insurance contract policies and procedures and medical terminology as related to the job.
- Must be flexible and willing to adapt to a changing work environment.
- Keep the front desk personnel engaged with the company.
- The job holder must demonstrate current competencies applicable to this position.
Physical and Mental Demands
- Office and clinical settings; able to walk through the registration areas and clinics.
- Standing, sitting for up to 8 or more hours/day while doing computer work or responding to phone questions.
- Able to walk, sit, stand, use hands and fingers, reach with hands and arms, stoop, kneel or crouch.
- Able to work in a demanding and fast-paced environment.
- Needs to be able to work alone and as part of a team.
- Must be able to work in front of a computer screen for long periods and have manual dexterity using keyboard.
- Performs complex tasks requiring independent knowledge, able to run and read reports using current company software.
Environmental Working Conditions
- Medium to high level exposure to communicable diseases like the flu.
- Able to work in a demanding environment.
