Senior UN FLEET Coordination Officer
Organizational Setting and Work Relationships
UN FLEET is a joint operation set up by UNHCR and WFP under the UN Reform initiative to provide vehicle leasing services to all UN Agencies and Entities. Its objective is to provide safe, efficient, and environmentally sustainable fleet solutions to the UN System while achieving significant and sustainable cost savings.
The Senior UN FLEET Coordination Officer manages all operational aspects of the UN FLEET upstream pipeline, including contacts with suppliers and service providers for light vehicles, armoured vehicles, ambulances, and other modified vehicles, parts, and accessories. The incumbent also manages all aspects of the vehicle and accessory stock, preparation, and shipping to their final destination. This includes inventory management and the performance of Vehicle Preparation Centres, where vehicles are stored and prepared before shipment to client agencies. The incumbent also manages all aspects of vehicle disposal at end-of-life or lease termination.
The incumbent plays a key role within the UN FLEET Management Team in defining vehicle and accessory model and specification standards and supporting the Organization in setting up plans, objectives, and performance indicators, contributing to policy issues, considering cost-effectiveness, staff safety, organisation performance, and effective control mechanisms.

Duties
Oversee the day-to-day operations of UN FLEET, ensuring smooth operations and service delivery in accordance with UN FLEET requirements as a GSS (Global Shared Service) providing vehicle leasing and associated services to UN agencies and entities worldwide, while supporting the Head of UN FLEET in the overall management of the project.
Ensure that UN FLEET operational performance consistently meets the defined service levels, such as the principles of cost recovery and client satisfaction.
Manage contracts related to UN FLEET operations, with a focus on vehicles, original equipment manufacturers (OEMs) of accessories, vehicle preparation centers, vehicle modifications, and conversions. This includes tenders, contract establishment, and piggybacking exercises.
Manage vendors in accordance with the Long-Term Agreements (LTAs).
Research and develop new products (e.g., accessories), modifications, and vehicle models in collaboration with vendors and service providers.
Manage vehicle and equipment sourcing upstream for the global pipeline.
Ensure the sourcing of non-standard vehicles on a global, regional, or local scale.
Ensure the sourcing of equipment – accessories, communications, and tracking.
Supervise, monitor, and assess the daily operations of the Operations Team in UN FLEET to ensure seamless preparation and delivery of vehicles to client agencies.
Develop relevant contacts and build constructive relations with government authorities, implementing partners, UN agencies, and others to foster mutual cooperation in fleet management.
Coordinate and monitor the performance of vendors providing vehicle fleet-related services, ensuring adherence to relevant UNHCR rules and procedures.
Maintain vendor and item master databases.
Provide UN FLEET clients with appropriate, cost-effective, safe vehicles and professional fleet management services for optimal programme delivery.
Compile and analyze statistical information, identifying trends and developments in UN FLEET operations to assist in decision-making.
