Overview: 

We are seeking a detail-oriented and proactive Senior Maintenance Coordinator to oversee the full maintenance request and work order process for our portfolio of properties. In this role, you will coordinate tenant maintenance requests, dispatch and manage vendor work orders, and ensure all repairs are completed on time, within budget, and to company standards.

As a senior team member, you will also lead the training and development of new hires, helping them align with company policies and best practices. You’ll work closely with subcontractors and vendors, track estimates and documentation, maintain an accurate vendor database with current rates and materials, and verify maintenance chargebacks to ensure accurate billing.

Summary of Responsibilities:

  • Lead the training of new hires, ensuring they are fully aligned with company policies, procedures, and best practices for success in their roles.
  • Respond promptly to tenant maintenance requests, prioritizing needs and efficiently dispatching work orders to external vendors for timely resolution.
  • Accurately input and maintain data, documents, photos, and estimates in the appropriate systems; track all work orders from initiation through completion.
  • Coordinate with vendors and internal maintenance team to confirm all maintenance and repair work is completed on time, within scope, and in alignment with approved bids and budgets.
  • Maintain a current and organized database of vendors, subcontractors, and materials, including updated rates and costs.
  • Research and verify maintenance chargebacks to ensure accuracy and proper allocation to tenant accounts.
  • Follow up with residents to ensure work orders and repairs are completed to satisfaction and in a timely manner. 
  • Manage the overall work order process, including prioritizing by urgency and geographic location for efficient scheduling and resource allocation.
  • Serves as a point of contact for escalated vendor and resident concerns, taking a proactive approach to resolving issues and maintaining clean, safe, and fully functional homes.
  • Perform additional tasks and responsibilities as assigned by management.


Required Qualifications, Skills & Experience: 

  • Minimum of 3 years of experience as a Maintenance Coordinator (required)
  • Strong knowledge of the renovation process, scheduling, and work order management (required)
  • Proficiency with Google Suite (preferred)
  • Established network of subcontractors (a plus)
  • Experience with Propertyware or similar software a plus
  • Broad working knowledge of maintenance and repair methods across multiple trades—including electrical, plumbing, HVAC, and carpentry—with the ability to analyze issues, troubleshoot effectively, and coordinate timely repairs


Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
