Salary Range $19.00 - $21.98 Per Hour


JOB SUMMARY:
The Office Services Assistant serves as an assistant to the Office Services Supervisor. This person handles all of the scanning and indexing of all company documents stored on the company server. This person maintains and distributes petty cash, posts pre-sort and first-class mail, and assists clients with procurement of supplies. The Office Services Assistant will also complete various miscellaneous jobs, such as complete Vendor credit applications, operate standard office machinery, complete copy jobs for clients and help to manage the fleet of multi functional devices (copy machines) throughout the company.

ESSENTIAL FUNCTIONS:
• Scan and index all documents that are stored electronically.
• Report to Supervisor when scanning and indexing fall behind.
• Perform quality control checks on indexed items at random.
• Post presorts and first class mail appropriately and prepares for nightly collection.
• Collect, count, and reconcile ‘Honor Soda’ monies.
• Complete tax W-9's and certificates.
• Completes Vendor credit applications on Empire's behalf.
• Assist in training staff.
• Distribute inter office and US Mail to appropriate recipients.
• Assist Office Services Supervisor on special tasks.
• Manage customer copy jobs and follows through to completion.
• Assist in maintaining forms inventory. Work with Office Services Supervisor to maintain acceptable stock levels.
• Consistently look for ways to be more efficient and effective.
• Work safely at all times. Adhere to all applicable safety policies. Comply with all company policies, procedures and standards.

ADDITIONAL RESPONSIBILITIES:
• Maintain positive attitude in assisting customers with their needs.
• Become proficient in Office Supply download and placing supply orders.
• Obtain quarterly click counts from all multi functional devices (copy machines) for reporting.
• Assist in printing and sorting daily invoices. Print and sort monthly credit statements.
• Assist in all areas of Office Services as needed.
• Work within and promotes corporate values.

KNOWLEDGE SKILLS AND ABILITIES:
• Knowledge of all office equipment, including postage meter, drill machine, letter folder, and cutter.
• Knowledge of programming large print jobs.
• Knowledge of OTG, Kofax and Supply Scanner.
• Knowledge of Procure It and Vendor Connect.
• Ability to maintain a positive attitude and treat each customer and coworker with courtesy and respect.
• Ability to maintain consistent attendance.

EDUCATION AND EXPERIENCE:
• Proof of high school diploma or General Education Degree (GED).
• Minimum 6 months experience in an office environment.
• Must be able to communicate (speak, read, comprehend, write) in English.
