SUMMARY: 

Under the supervision of the Director of Facilities; provides administrative support for the Facilities Department.

 

ESSENTIAL DUTIES & RESPONSIBILITIES:

Performs administrative/clerical duties for the purpose of assisting the Director in the performance of their work and the efficient operation of the Facilities Department.
Answer admin telephones and takes messages as needed for the Facilities Department.
Maintain schedules for the Facilities team; schedules and sends reminders of important meetings and dates of events.
Maintains, dispatches and tracks all computerized work orders for the Facilities Department using the work order software and 2-way radio system.
Places necessary order for supplies to vendors using the current and future company computerized software purchasing program.
Receives and processes incoming and outgoing mail.
Assist employees with questions and other miscellaneous duties. Acts as liaison to Human Resources.
Type and distribute various reports and memos to management.
Creates and distributes or post weekly employee schedules.
Types various reports for Director of Facilities.
Prepares new files for employees, contracts, work orders and correspondence and other written pages as requested.
Maintain office supply inventory.
Attends meetings for the purpose of conveying and/or gathering information required to perform functions. Creates and maintains attendance and discussion notes during meetings.
Prepares reports for Director of Facilities as needed.
Maintains various records and compiles pertinent information for Director of Facilities’ use.
Responds to inquiries for the purpose of providing information and/or direction.
Assists Facilities department personnel as required in supporting them in the completion of their work activities.
Maintains records/files for the purpose of documenting and/or providing reliable information for the department.
Processes business documents and materials (e.g. purchase requisitions, purchase orders, work orders, agendas, mail, etc.)
Regular and punctual attendance required to meet essential functions of job responsibilities.
Complies with Federal, State and Tribal laws.
Works in a safe manner; complies with company and OSHA safety regulations.
All other duties as assigned (non-gaming functions and issued gaming license permitting).

QualificationsKNOWLEDGE, SKILLS & ABILITIES:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.  All Employees must be knowledgeable to all Company policies and procedures.

Knowledge of office procedures and basic bookkeeping procedures; data input. 
Strong knowledge with MS Office, including Word, Excel, PowerPoint and Outlook.
Demonstrates effective human relations skills.
Ability to communicate effectively with individuals and groups, both verbally and in writing.
Ability to perform multiple tasks.
Ability to prioritize work and make good decisions in the absence of the Director of Facilities.
Ability to work under standardized instructions and/or routines; provide information and/or advising others; and operating within a defined budget and/or financial guidelines.

Ability to work flexible hours, shifts or days as determined by business demands.

QUALIFICATIONS & REQUIREMENTS:

High school diploma, GED or combination of education and administrative assistant experience.  Must have computer knowledge.
Secretarial experience in maintenance, and construction, or combination of experience and education. 
Command of business English and able to write letters using correct grammar, spelling, and punctuation. 
Communicate with others in a clear and precise manner, problem solving, analyze issues, create plans of action and reach solutions. 
Maintain confidentiality of records and correspondence. 
Relates to the public, staff and administration in a positive manner. 
Modern office practices, procedures and equipment required to perform office functions in an efficient manner.
