Job Summary
The Lease Administrator is responsible for the accurate administration, abstraction, and ongoing management of real estate lease data and documentation across the company’s real estate portfolio. This role supports the Real Estate organization by ensuring lease compliance, maintaining lease systems and records, tracking critical dates, and coordinating financial and operational lease activities. Core Responsibilities
- Prepare, review, and maintain lease abstracts, ensuring accurate interpretation of lease terms, conditions, and financial obligations
- Capture and maintain real estate related data within data management system for all owned and leased real estate, ensuring accuracy and integrity of data for each location.
- Participate in the management of client, vendor and landlord relationships as it relates to real estate assets.
- Rent analysis and rent payment processing
- Data entry and data management of lease documents
- Tracking and maintaining critical dates
- Assist with the management of lease expirations, renewals and/or extensions.
- Evaluate request for reimbursement of real estate related expenses including taxes, insurance, or other related invoices ensuring accuracy and lease compliance. Investigate discrepancies and make appropriate recommendations.
- Coordinate with third‑party abstraction or brokerage partners to ensure timely and accurate lease data delivery
- Assist with reporting on lease status, expirations, financial obligations, and portfolio metrics.
- Consistent exercise of independent judgment and discretion in matters of significance.
- Regular, consistent and punctual attendance. Must be able to work nights and weekends, variable schedule(s) and overtime as necessary.
- Other duties and responsibilities as assigned.
Qualifications
- Bachelor’s degree in Real Estate, Business Administration, or related field
- 3+ years of experience in lease administration or real estate operations, including team leadership.
- Strong knowledge of portfolio management systems (Lucernex preferred) and financial analysis.
- Excellent organizational, communication, and stakeholder management skills.
