Role Overview:
The Powder Mountain Art Team is seeking a full-time, onsite, Operations and Project Administrator. Reporting to the Director of Art Operations and Production, you will play a pivotal role in ensuring the smooth and efficient day-to-day operations of the Powder Mountain Art Team. You will oversee various aspects of Team Management and Organization, Production Support, and Project Coordination.

Key Responsibilities:

Team Management and Organization:

  • Manage and oversee the art master calendar, including design, installation, implementation, communications, and more.
  • Anticipate bottlenecks, clarify project priorities, identify risks, and escalate issues that cannot be internally resolved.
  • Manage requests/tasks and distribute information between different team members to ensure all operations run smoothly and on time.
  • Coordinate with key internal stakeholders on the Development and Construction, Mountain Operations, and Risk Management teams.
  • Define best practices for the team to ensure consistency in project tracking, file organization, and deliverables.
  • Maintain up-to-date documentation and records of all ongoing projects for internal and external reporting.

Project Management:

  • Assist in the planning, scheduling, and execution of art installations.
  • Develop and manage resources such as Gantt charts, work breakdown structures, and stakeholder engagement matrices.
  • Maintain and monitor design, production, installation, and maintenance schedules. Follow up on core tasks, set key milestones, and ensure stakeholders are on task and on time with deliverables.
  • Provide regular status reports and updates to the team.
  • Liaise with artist studios and galleries.
  • Coordinate and manage visiting artists’ schedules and requirements.
  • Research, source, and negotiate with appropriate suppliers and contractors.
  • Coordinate between Development and Construction, Maintenance and Mountain Operations, and Risk Management teams to address construction, safety, and operational concerns related to art installations and maintenance.
  • Collaborate with the Marketing department to align artistic projects with overall initiatives.
  • Attend or participate in art-team-related events as needed, representing the team and ensuring smooth execution.
  • Track project budgets and expenditures, ensuring projects remain within budgetary constraints.
  • Conduct post-project evaluations to capture lessons learned and inform future projects.

Qualifications:

  • Extremely well organized and detail-oriented.
  • Strong understanding of Project Management concepts and best practices.
  • Proven experience in managing the production and execution of art and/or design projects.
  • Experience coordinating between numerous stakeholders and vendors.
  • Strong ability to identify and engage with stakeholders effectively.
  • Excellent interpersonal and communication abilities, both written and verbal.
  • Strong time management and prioritization skills, with the ability to manage multiple projects simultaneously.
  • Passion for art and a deep understanding of how it can enhance the overall guest experience.
  • Adept in Google Workspace or similar software.
  • Experience with ProCore software is a plus.
  • Ability to work in a fast-paced environment, adapting to changing priorities while maintaining a positive attitude.
  • Familiarity with the local and regional art community is an advantage.
  • Bachelor’s degree in Art, Project Management, Business Administration, or a related field is preferred.
