We need someone who can protect those resources while also creating structure and processes that amplify them. There’s no blueprint for this job. You’ll need to be trustworthy, fast-moving, and calm under pressure, moving between strategy and execution, details and big picture, people and process.
Solution
This role carries three main areas of responsibility.
- Executive Support
- Own the CEO’s calendar, ensuring time is spent on the highest-impact activities
- Proactively manage scheduling conflicts, prep materials, meeting logistics, and follow-ups
- Draft and coordinate internal and external communications with clarity and care
- Handle confidential matters with discretion and professionalism
- Office & Hub Administration
- Help build and operate Planhat’s LA office as a collaborative, inspiring workspace
- Coordinate vendors, supplies, events, and basic IT/facility needs
- Ensure LA office culture reflects Planhat’s global values and local energy
- Act as a point of coordination for our global office footprint, supporting and approving proposals or requests from other local office leads to ensure consistency, efficiency, and alignment with Planhat’s values
- Special Projects & Coordination - organize and execute strategic events such as:
- Planhat Open, our annual customer summit
- Leadership offsites or cross-functional sprints
- Internal communications, special projects, or system rollouts
- Track key initiatives, chase actions, and keep things moving across teams and time zones
Process
Following an initial pre-screen interview, we will provide a case study test. This test will be the closest possible representation of the core responsibilities of this role.
You are a seasoned operator with a level-head and sound instincts. You have years (if not decades) of experience supporting senior executives within fast-moving environments (tech, startups, consulting, etc.) and know how to communicate with them proactively, prioritize effectively, and ensure things happen on schedule: you don’t wait to be asked; you see it, and get it done. Complete fluency with Google Workspace, Slack, Zoom, and basic productivity tools is a must.
Los Angeles preferred (CEO based in LA; leadership across the US & Europe). We’re open to candidates not currently based in LA but looking to relocate.
