About the role

Job Description

We are looking for a highly skilled Senior Logistics Sales Support Specialist to join our Supply Chain & Logistics team. In this role you will act as a key link between logistics, sales and customer service. You will own contract and pricing management, support demand and supply planning, and ensure an excellent, continuously improving customer experience.

You will be part of the team responsible for demand planning, material procurement, production planning, inventory control, outsourcing, vendor selection and distribution, with a specific focus on customer service and sales support. A major part of your responsibility will be managing contracts and maintaining pricing on a quarterly basis.

You will also play a central role in developing and implementing best practices in logistics and customer service, and in driving knowledge sharing and continuous improvement within the L&D team.

Key responsibilities:

Sales Support

  • Manage sales contracts, including daily administration, monitoring and reporting.
  • Ensure regular and effective communication with the sales team.
  • Support sales operations through order processing, pricing and invoicing in SAP.
  • Ensure accurate tender customer and master data management.
  • Coordinate and execute pricing and tender-related activities.
  • Administer discounts and rebates, including calculation of returns and paybacks.

Demand Planning

  • Monitor the flow of goods (outbound deliveries/domestic replenishment deliveries) to support business plans and ensure appropriate stock levels.
  • Proactively communicate market changes to planners and business stakeholders; support the development of mitigation plans to reduce out-of-stock risk.
  • Compare demand forecasts and budgets at partner level.
  • Provide expertise on forecast accuracy and adherence to plan, highlighting impacts on stock levels and potential out-of-stocks.

Supply Planning & Stock Management

  • Monitor and provide expertise on stock levels (overstock, low stock, slow-moving stock) and product expiry dates.
  • Prepare data for IQV/HARP for Poland (all domestic storage locations/plants) and act as subject matter expert in this area.
  • Monitor logistics parameters/data on the ePlatform on behalf of HU L&D.
  • Place fill-up orders for manually ordered products when needed to maintain sufficient stock levels.
  • Actively cooperate with the L&D team to maintain optimal in-market stock.

Warehouse Management

  • Provide expertise in L&D areas and promote best practices.
  • Ensure proper communication with the warehouse regarding customer shipments and issuance of delivery notes.
  • React appropriately to incidents such as under-delivery, over-delivery and damages.
  • Participate in annual stock-taking activities.

Reporting

  • Prepare and submit predefined monthly/weekly reports (e.g. goods flow, inventory levels, overstock, out-of-stock, lost sales, backorders, obsolete items).
  • Provide subject matter expertise that supports data-driven decision‑making across the organization.
  • Monitor and report on commitments specified in annual tender contracts to the sales team.

Customer Support

  • Manage sales-related claims, complaints and operational issues in cooperation with internal and external stakeholders.
  • Act as an expert in customer service, drive improvements, and promote a knowledge‑sharing culture within the team.
  • Deliver timely customer service via email, phone, face‑to‑face and live chat.
  • Communicate customer feedback to relevant teams to resolve issues and improve customer experience.
  • Cooperate with internal stakeholders on the maintenance and development of the e‑commerce platform.
  • Provide customers with all relevant sales information (e.g. out-of-stocks, price lists, sales performance, promotions).
  • Receive customer orders and support end-to-end order booking and shipment preparation (incl. allocation checking with NSM).
  • Send order confirmations, including out-of-stock and next-availability information.
  • Handle customer complaints not related to active ingredients, liaising with CORA, NSM and BU as needed.
  • Archive and document commercial agreements and special deals (including calculation of returns and paybacks).
  • Develop and maintain strong customer focus to maximize satisfaction.

Systems & Continuous Improvement

  • Provide expertise in L&D areas and drive continuous improvements within the scope of L&D responsibilities.
