About Mindful Support Services
We are a business-to-business support service for independent mental healthcare businesses, which helps provider-members service a growing client base. We provide administrative and organizational services to simplify the processes of lead-generation, marketing, billing and collecting payments from patients and insurers. Our teams currently support over 2,000 independent mental health providers, who serve over 25,000 clients per week across 15 locations in Arizona, Colorado, Nevada, Oregon, and Washington as well as virtually via Telehealth.

About the Director of Operations Role
The Director of Operations is responsible for the success and execution of daily operational activities including facility management, technology and software solutions, and back-end administrative processes. Reporting to the Vice President of Operations, this is a high-visibility role with responsibilities for thinking through the tactical aspects of growth, specifically in scaling technology, business automations, and business intelligence architecture. The Director of Operations is responsible for driving the daily success of the Operations Department and leading the collaboration and support of other departments across the organization. The DOO helps manage resources, builds and adapts infrastructure, and problem-solves existing processes for scale.
The area of responsibility for this role is broad and thus requires thorough and in-depth knowledge of industry and company processes. A successful DOO must be an excellent leader who can develop direct reports, collaborate across the company, and create action plans in order to achieve goals. The ideal candidate will have expertise in budget management, intimate familiarity with automation tools, and scaling business intelligence resources.

- Oversee Operations: Manage the day-to-day operations of the Facilities, IT, and Operations Departments, ensuring seamless business support services for the mental health group.
- Leadership & Development: Provide leadership through continual employee development, optimizing equipment and processes, and improving facilities/systems across all functions.
- Process Evaluation: Evaluate business procedures according to organizational objectives, leading initiatives to streamline processes, increase efficiency, and enhance service quality.
- Project Management: Oversee the launch of new therapy office locations, including facility construction, project management, budget tracking, and activation.
- Insight & Reporting: Provide insights and suggestions on operational or performance-related issues, compiling data from various platforms for reporting to the VP of Operations and Executive Team.
- Objective Tracking: Track interdepartmental objectives, assist with budget planning and management, and manage projects, including setting timelines and ensuring follow-through.
- Policy Formulation: Revise and/or formulate policies, promote their implementation, and set documentation standards for all process improvements.
- Relationship Management: Develop and maintain strong relationships with internal teams and external partners, including mental health practitioners, to ensure services align with their business objectives.
- Negotiation & Agreements: Negotiate and manage relationships and agreements with internal and external partners, members, and vendors.
- Reporting & Analysis: Provide timely and impactful reporting and analysis to senior leadership on operational efficiencies, budget impacts, and project updates.
- Corporate Communication: Create value for services and share important news with members and staff via newsletters and email updates.
- Compliance & Risk Management: Ensure company operations comply with all relevant laws, regulations, and organizational policies, proactively managing risks to the organization.
