Major Duties

Under general supervision, the IT Finance & Administrative Support Coordinator provides administrative, financial, and event coordination support for the IT Division. The position processes financial transactions, coordinates travel and events, maintains records and calendars, supports communications, and assists with division-wide operational activities.

  • Performs a variety of administrative coordination responsibilities including preparing meeting minutes, tracking action items, and distributing notes promptly.
  • Processes purchase requisitions, purchase card reconciliations, ICT forms, and chargeback requests.
  • Prepares and tracks travel requests, advances, and claims in compliance with CSUN and CSU policies.
  • Assists with monitoring budget expenditures, reconciling accounts, and preparing financial reports.
  • Plans, coordinates, and executes IT division events including workshops, trainings, recognition events, and division-wide gatherings.
  • Performs other duties as assigned.

Qualifications

  • Equivalent to five (5) years of full-time, progressively responsible administrative or technical office management experience in an administrative capacity exercising independent judgment and leading the work of others.
  • Equivalent to full-time college or university education/vocational school training in a business or job-related field may be substituted for up to two (2) years of the required experience. Bachelor's degree, preferred.
  • Three (3) years of full-time, general office clerical work that has provided the applicant with the knowledge and abilities listed, is a plus.
  • Experience coordinating events from planning through execution and providing support to faculty and academic departments is also preferred.

  

Knowledge, Skills, & Abilities

  • Ability to coordinate multiple administrative activities, schedules, meetings, and deadlines effectively.
  • Knowledge of financial processes, including purchasing, travel, account reconciliation, expenditure tracking, and financial reporting.
  • Ability to plan and coordinate events from initial planning through execution and post-event activities.
  • Strong written communication skills for preparing professional correspondence, meeting documentation, updates, and internal communications.
  • Ability to maintain accurate records, track operational and financial data, and support reporting and compliance requirements.
  • Strong organizational and collaboration skills with the ability to work effectively with IT leadership, faculty, staff, students, vendors, and external partners.

 

Pay, Benefits, & Work Schedule

  • The university offers an excellent benefits package, including but not limited to: medical, dental, vision, retirement & savings, tuition waiver, and more.
  • Classification: 1035 / Admin Support Coord  / Grade 2
  • The anticipated HIRING RANGE is $4367– $4634 per month, dependent on qualifications and experience. The salary range for this classification is: $4367 - $6362 per month.
  • HOURS: Full Time; 40 hours per week; Monday through Friday. May include evenings and weekends.  
  • This is a Regular position with a one-year probationary period. 
  • The position is currently hybrid (3 days in office, 2 days remote); however, this is subject to change based on student and/or operational needs.
