Purpose

Provide purchasing, payment, and administrative support as part of the Office of the Executive Vice President and Provost's academic business affairs team.

Responsibilities

  • Process purchase requests, including UTMarket carts, purchase orders, contracts, and Amazon Prime business purchases. Process voucher payments, journal entries, and account transfers. Prepare travel authorizations and travel payment vouchers. Assist with travel arrangements as assigned. Track requests in emails, spreadsheets, and other systems as required.

  • Maintain paper and electronic records according to university record retention policies. Ensure clear, timely, and reliable communication to employees and vendors. Evaluate, research, and resolve procurement and payment issues and inquiries. Other duties as assigned, including providing administrative support to academic business affairs staff and serving as backup to co-workers.

Required Qualifications

High school diploma or GED and experience as an accounting clerk or similar role. Must be a self-starter who is quick to learn, detail-oriented, and has the ability to follow directions, proof work, and follow through. Ability to organize, prioritize, multitask, and meet deadlines. Ability to work independently with little supervision and as a team player. Proficient in basic math skills. Excellent written and verbal communication skills. Excellent interpersonal skills and ability to positively interact and clearly communicate verbally and in writing. Demonstrated working knowledge of PC skills, including spreadsheets, Word documents, email, and videoconferencing tools (e.g., Zoom, Teams).

Preferred Qualifications

Bachelor's degree. Proficiency in Point Plus, UT Market, DEFINE, Smartsheet, and/or the Request Form System. Experience with University accounting policies and knowledge of UT's Handbook of Business Procedures. Extensive experience with Microsoft Office applications.

Hourly Rate

$21.15 + depending on qualifications

Working Conditions

  • Attire: Business Casual

  • Standard Office Environment, Use of manual dexterity, Repetitive use of keyboard at a workstation, Lifting, pushing, or pulling

Work Shift

  • Hours per week - 40

  • The work hours are from 8:00 a.m. to 5:00 p.m.

  • This position is expected to work remotely 1+ days per week based on business needs and in coordination with the supervisor.
