About the role

Job Description

As an HR Operations Project Specialist, you will play a vital role in supporting the integration process of two organizations (NIQ and GfK) by addressing the challenges arising from mixed reporting relationships among managers due to the utilization of different HRIS and other related systems. We are seeking a highly organized and detail-oriented Project Specialist to support the coordination of activities related to managers who will be leading teams across both companies. This role is crucial in ensuring smooth operations during this transitional phase, maintaining efficient communication channels and facilitating manager-related processes.  

Responsibilities 

  • Coordinate system access: Serve as the primary point of contact for process owners and HRBPs in both companies, ensuring timely and appropriate access of managers to the respective systems. Liaise with IT, HR, Procurement and Finance teams to facilitate user setup, troublshooting, and system integration as necessary 

  • Centrally track and maintain key activities performed outside of the system such as intercompany referrals, employee transfers and other HR-related requests. Maintain accurate records and provide regular reports to relevant stakeholders. 

  • Execute offline tasks as needed: Support managers by executing offline HR tasks, including but not limited to documentation management, data entry and information gathering, ensuring adherence to relevant policies, guidelines and legal requirements.  

  • Direct questions: Direct inquiries to the appropriate teams or resources and follow up to ensure timely resolution.  

  • Maintain contact lists: Develop and maintain comprehensive contact lists of key stakeholders, managers and HR personnel across both companies. Regularly update contact information and distribute it to relevant parties. 

  • Coordinate training and onboarding: Collaborate with HR, Mixed Manager Program Leader and other relevant parties to coordinate training and onboarding activities for managers. Ensure smooth integration into the new process, providing necessary guidance and support.  

Qualifications

  • Bachelor's degree in human resources, Business Administration or related field. 

  • Minimum of 1-3 years of experience in project coordination roles, preferably in a complex organizational environment. Experience managing cross-functional projects is highly desirable. 

  • Strong communication and interpersonal skills to effectively communicate information to stakeholders and build positive relationships with diverse teams.  

  • Detail-oriented: Exceptional attention to detail and the ability to manage multiple tasks simultaneously. Proven track record of maintaining accurate records, organizing information and meeting deadlines. 

  • Ability to manage multiple priorities and meet deadlines in a fast-paced, evolving environment. 

  • Proficient in MS Office Suite (Excel, Word, Power Point, Outlook).
