About the Opportunity
The Enterprise Resource Planning Support Office (ESO) has an immediate opening for a Senior Administrative Assistant, reporting to the ESO Chief of Staff.
The ESO administrative assistant will be responsible for administrative support of the leadership team, providing business analysis of general accounting and budgeting, and being the main point of contact for all things related to employee’s experience and engagement.
What You Will Do:
Provides general administrative support for department units and management including, but not limited to,
- Responsible for scheduling and coordinating meetings, conference calls and events for Group Vice President and Vice President of Product both within the 5th District and across the System
- Provide occasional administrative support to the ESO Chief of Staff
- May assist with making travel arrangements for Senior Leadership Group, or others as needed.
- Produces and edits correspondence, reports, spreadsheets, and presentations, some of which are confidential or sensitive in nature.
- Exercises considerable discretion and independent judgment and can analyze complex information requests and determining complex trends, with limited supervision.
- Maintains department-wide calendars. May maintain other department databases as needed.
- Coordinate monthly department meetings, virtual social hours, and annual hybrid all-hands conference.
Provides general support for overall department accounting and budgeting:
- Performs purchasing and payment activities for department within established guidelines to ensure compliance with Federal Reserve policies and timely payment of invoices (such as: procuring supplies, registration payments, and processing invoices) through PCARD program, or Ariba invoicing.
- Assist Vendor Management team with tracking annual contract renewals and process payments.
- May maintain other department databases and access provisioning as needed (such as: FedIdentity, Email Groups, Teams Channels)
- Acting as a liaison to other departments; (Technical support liaison, OADC, Key Custodian)
- Develops analytical reports and completes projects of average to moderate complexity and priority.
Provides general support to overall ESO Business operations:
- Performs various department on- and off-boarding activities.
- Serves as primary point of contact for guests and works directly with them to coordinate meeting, travel or other routine arrangements.
- Serves as primary point of contact for admin office, including but not limited to facilities space & work requests coordination, office supplies, and employee requests for new equipment.
- Works on special assignments and plans special meetings or functions as needed.
- Process Security Access Requests (SAR’s)
Qualifications:
- Excellent computer skills including Microsoft Outlook, Word, Excel, and PowerPoint along with other various online applications.
- Ability to handle sensitive information with confidentiality.
- Comfortable with executive level communications
- Excellent attention to detail
- Excellent project management and analytical skills
- Excellent time management skills and ability to multitask and prioritize appropriately.
- Attentive response to internal or external requests for information
- Ability to work independently with minimal supervision and direction.
