The Program Coordinator plays a pivotal role in overseeing the daily operations and long-term success of the RiseBoro Beacon program, ensuring high-quality experiences for youth, teens, and adults. This position supports the Assistant Director, Site Coordinator, and Beacon Director in delivering the vision of the program by building and sustaining collaborative relationships with internal teams, external stakeholders, and the leadership of the host school. The Program Coordinator is part of a collaborative team responsible for ensuring seamless program delivery, fostering participant engagement, and enhancing family and community involvement. By coordinating efforts across staff and stakeholders, the Program Coordinator contributes to the overall impact and success of the Beacon program, promoting meaningful connections and outcomes for participants. Specific duties and responsibilities include:

Program Implementation & Participant Engagement:

Support the planning and execution of daily activities and schedules for after-school and weekend programming, ensuring they are effectively aligned with the Beacon’s objectives and outcomes during after-school and weekend hours
Work closely with the Education Specialist team and staff to ensure lesson plans are engaging, meaningful, and promote the holistic development of all participants
Act as the primary point of contact for participants and families, addressing concerns, fostering engagement, and cultivating strong relationships to enhance participant involvement

Staff Supervision & Development:

Provide direct supervision to part-time staff and volunteers, offering leadership, guidance, and feedback to ensure high-quality program delivery
Deliver quarterly staff development opportunities in topics designed to address contract requirements and participant engagement
Support staff meetings and training, working collaboratively with the Site Coordinator and Assistant Director to facilitate team development
Assist in the hiring, training, and supervision of staff, ensuring they are oriented to their roles and responsibilities within the program structure

Family & Community Engagement:

Partner with program leadership to build and enhance relationships with families and community organizations, encouraging active participation in the Beacon program and driving increased attendance
Create and implement a communication plan, including emails, newsletters, calendars and social media content, to keep families and the community informed and engaged with program activities and updates
Assist in developing recruitment and retention strategies that ensure the Beacon program remains inclusive and appealing to a diverse group of participants, including youth, teens, and adults

 

Administrative & Reporting Support:

Manage participant registration and outreach and attendance records, ensuring data is accurately entered into the DYCD Connect database
Assist in the preparation of reports and documentation for funders, ensuring accuracy, compliance, and timely submission of required reports
Provide administrative support to the Assistant Director and Site Coordinator, including scheduling, space reservations, and supply requests
Address emergencies by following established protocols, ensuring thorough documentation and timely follow-up, while demonstrating the flexibility to adapt as needed within the guidelines of approved procedures

Event & Special Program Coordination:

Lead the planning and execution of special events, trips, and community activities ensuring logistical needs are met and the events run smoothly
Work closely with the leadership team to coordinate major events, aligning them with program goals and ensuring strong participant and community involvement

COMPETENCIES

At least two years of experience working in youth or community programs, with some leadership or supervisory experience
Strong organizational, planning, and communication skills, with the ability to manage multiple tasks and responsibilities simultaneously
Experience working with diverse populations, including youth, teens, and adults
Proficiency in MS Office Suite and experience with data management systems (DYCD Connect preferred)
A team player with strong interpersonal skills and a commitment to fostering a positive, inclusive program environment.
Bilingual proficiency in Spanish is a plus
Familiarity with youth development principles and community-based programming.
Ability to understand the concepts of institutional and structural racism and bias and their impact on underserved and underrepresented communities
Have a demonstrated commitment to supporting communitie
