Department Overview
The OR and MSPU Materials Manager reports to Supply Chain and Logistics (SC&L) but directly supports the Perioperative/Operating Room (OR) and Multi-Specialty Procedure Units (MSPU) areas to ensure supply chain responsibilities are met. The OR/MSPU Materials Manager is responsible for driving cross-funtional efficiencies throughout the Perioperative Services supply chain and to identifying & implementing process improvement initiatives that support the organizational goals. The Manager is responsible for evaluating, developing and implementing lean/best practice systems, tools, and processes that provide OHSU with the ability to manage and improve inventory management or service levels. This is to be accomplished through constant communications with key stakeholders, development of the team, goals & objectives setting, standardization of departmental processes, and comprehensive progress reporting.
Specifically, the OR/MSPU Materials Manager and their staff will ensure that medical/surgical inventories are in stock, on order, and available from the Med/Surg distributor and necessary direct suppliers. This manager is also responsible for ensuring proper stocking levels, space allocation and product location management while maintaining OHSU high standards of customer service.
The OR/MSPU Materials Manager works closely with the SC&L Warehouse Manager to coordinate all existing systems and processes to optimize performance in the inventory management arena while taking advantage the latest tools, trends, and technology in the industry. The manager develops reporting that provides insight on the progress and performance of the Perioperative Services supply chain (inventory levels, inventory accuracy, fill rate, stock out rate, customer satisfaction, etc.) and acts on data to identify, document, implement or monitor process improvements. The OR/MSPU Materials Manager is proactive in their approach and takes best practices to other clinical inventory areas.
Function/Duties of Position
Process Improvement and Control -
- Responsible for overseeing and improving departmental inventory control processes to ensure that ultimately, each is operating efficiently and effectively. Work closely with SC&L Warehouse Manager, Distribution Managers, Value Analysis Manager, OR Business Manager, Sterile Processing Manager, HFS Leadership, Perioperative Services Director, to develop and implement processes, standards, and improvement initiatives which will ensure that the OR/MSPU Inventory is following best practices in inventory management and meeting or exceeding customer expectations. Manage and coordinate distributor relations and programs for the Perioperative and MSPU areas as needed.
Inventory Management -
- Continually monitor stocking levels on items, demand forecasting, inventory value, stock-outs, fill rates, inventory turns, backorders, substitues, and lines received to ensure that the OR/MSPU Inventory has the right product at appropriate quantities to satisfy our customer’s needs while eliminating redundant items or inflated quantities. Also ensures that new products being introduced to the OR/MSPU are on hand and available from the distributor/supplier prior to implimenting the change.
- Ensures robust backorderand management and works together with SC&L on Sub approval process. Works in collboration with Logisitcs on recalled items. Ensures that recalls are completed in timely manner. Manager is accountable for Pyxis supply cabinet functionality and accuracy of the inventory in MSPU areas. Manger has overall accountability for Implant tracking process. Manager is accountable for yearly Phsysical inventory preperations and success as well as ‘mini’ inventory ( consistent cycle counts ) schedules and outcomes.
Personnel Management -
- Responsible for ensuring the each area has the appropriate level of trained personnel to meet or exceed customer service expectations. Responsible for hiring, firing, and training of departmental personnel. Must effectivly communicate expectations with departmental staff through individual performance evaluations, counceling, and staff meetings. Assist staff with individual development plans by utilizing the GROW conversation process.
- Develops staff knowledge base with regards to inventory best practices, supply chain management, and acts as an inventory management resource/mentor to staff members.Manager will support assistant manager on all issues related to staff and improving their work/life balance and growth.
Financial & Accounting Management -
- Prepare/approve Oracle requisitions for replenishment, as well as maintaining a close relationship with the Surgery Buyer, supply distributors, customers,
