JOB DUTIES
- Provide administrative support to the Operations Division Manager and division staff, including greeting, screening visitors, answering phones, and directing individuals to appropriate staff members.
- Make travel arrangements for various Operations staff, arrange meetings, take minutes of meetings, develop PowerPoint presentations, prepare written correspondence, analyze and evaluate office procedures, and recommend/facilitate any necessary improvements.
- Will be responsible for performing budget analyses and developing reports for Operations leadership.
- Enter invoices into the E1 and roads payment system, complete and submit employee reimbursements, order supplies needed by the division, verify insurance documents, etc.
- Perform other duties as assigned.
Requirements / Qualifications:
Minimum Qualifications: Coursework/training or experience related to research, presentation, or publication in an area related to the programs or functions of the employing agency; business administration; accounting; customer service; and/ or technical support work, including the use of computer software such as word processing, spreadsheets, and database management.
Preferred Qualifications:
- Experience as a primary support person, performing accounting/bookkeeping and filing duties, operating a multiline phone system.
- Experience working with the public or outside agencies and possess good time management, organizational, and communication skills.
Other: Must have a valid driver’s license or the ability to provide independent authorized transportation.
KNOWLEDGE / SKILLS / ABILITIES
- Proficient in PowerPoint, Excel, and Microsoft Office products.
- Must have quality interpersonal skills, possess good communication skills, and be able to deal professionally with the public and NDOT staff.
