About the role

The Clinic Patient Access Supervisor is responsible for providing guidance to the Clinic Patient Access Representatives, expediting patient flow, and managing all clinical access points, including but not limited to referrals, phones and registration.  Also supervises the scheduling of patient and assists with related process workflows. Communicates with other departments and management to expedite the admission process and to ensure high quality service for patients.  Relies on extensive experience and judgment to accomplish responsibilities, while creativity is expected to perform job, and leads and directs the work of others.

    1. Offers leadership and support to staff members, monitors work quality and quantity, and ensures efficient departmental operations by providing supervisory support when needed.
    2. Provides quality training and orientation to staff. Training documentation/competency checklist is completed correctly at the end of the training period and at least yearly. Coaching is provided as requested.
    3. Ensures all staff has been properly trained on and with required software systems and equipment, such as the electronic health record, E-mail, Passport Insurance verification, phone system, downtime process, collection process and all functions provided by staff.
    4. Trains and retrain staff concerning Regulatory and departmental changes and relays as evidenced by attendance sheets and documentation of training.
    5. Provides monthly staff meetings as evidenced by attendance sheets and documentation of training.
    6. Schedules and assigns work to staff members, monitors work quality and quantity, and ensures efficient departmental operations by providing supervisory support when needed.

    1. Documentation of audits and reports to monitor efficiency of staff, staff workload, registration errors; Work with management and staff to ensure appropriate actions are taken to meet goals.
    2. Documentation of sessions with individual staff to review applicable report findings monthly and ensure appropriate follow up was made.
    3. Evaluates the performance of reporting personnel in order to ensure efficient divisional operations and ensures that all reporting personnel receive regular performance reviews, appropriate job-relevant feedback, and are treated in a fair and objective manner.
    4. Works with management and staff to implement policies and procedures to enhance patient access and ensure high quality service for patients.

 Experience - 2 years experience in the function of hospital or clinic registration or billing office. Bachelor's degree substitutes for 1 year experience.

 Education - High School diploma or equivalent
