Senior Executive Assistant
We are currently seeking a professional, highly organized, and detail-oriented Executive Assistant to the Chief Executive Officer and other Executive team members. This position will play an important role by interfacing on behalf of the CEO with our Board, Franchisees, key customers, and our ServiceMaster Team.
In addition, you will seamlessly manage the administrative and project management needs of these key executives while coordinating the calendars with both internal and external stakeholders. You will help manage the flow of information by facilitating connections with stakeholders, screening telephone calls and visitors, resolving routine inquiries, and creating space for the leaders to focus. This role includes the need to schedule appointments, meetings, and travel itineraries, coordinating all related arrangements. In addition, you will provide general facility management for the corporate office.

What you will do:
- Perform diversified and comprehensive administrative support requiring broad and anticipatory thinking.
- Manage sensitive information with the utmost confidentiality and discretion.
- Serve as the primary liaison between the executive leaders and internal/external stakeholders, ensuring effective and timely communication, while safeguarding the leaders’ time to focus on strategic initiatives.
- Manage heavy and complex calendars and scheduling with a thorough understanding of business priorities and optimize the organization of meetings, appointments, and events.
- Schedule appointments, meetings, and travel itineraries with coordinated related arrangements, while keeping leaders well-informed of upcoming commitments.
- Partner to design and implement culture-building events that strengthen the organization, including the need to plan and support large meetings, off-sites, and team-building activities.
- Coordinate with team members and external partners to ensure seamless execution of projects, maintaining accountability and supporting the delegation of tasks.
- Take meeting minutes and track actions and follow-ups.
- Craft compelling presentations that reflect the company’s brand and represent the executive team in crucial communications.
- Act as a social and cultural touchpoint for the team.
- Serve as the office administrator to ensure smooth office operations, overseeing maintenance projects, coordinating general facility upgrades and renovations, partnering with outside vendors for office improvement needs.
- Property manager and security desk point of contact.
- Assign office space and manage floorspace/floorplan changes.
- Manage expense reports and submission.
What you will bring:
- Bachelor’s degree preferred
- Minimum 5 years of experience as a collaborative Executive Assistant or related administrative role, effectively supporting multiple high-level leaders
- Excellent administrative and organizational skills with the ability to exercise good judgment, discretion, and initiative
- Advanced Outlook calendar management is critical with experience in expense management and travel coordination
- Expert knowledge of Microsoft Office applications (Word, PowerPoint, and Excel) is required
- Proven time management skills with the ability to prioritize and handle multiple tasks in a fast-paced work environment
