Patient Coordinator

Job Summary:

The Patient Coordinator is the first point of contact for patients at our imaging center and plays a vital role in ensuring a smooth and compassionate patient experience. This position requires excellent interpersonal skills, empathy, and the ability to manage multiple tasks with a high level of professionalism. The Patient Coordinator will be responsible for greeting and assisting patients, managing imaging appointment workflows, handling cancellations, and efficiently backfilling open appointment slots.

Key Responsibilities:

  • Warmly greet and check in patients, ensuring a welcoming and supportive environment.

  • Coordinate daily imaging schedules and patient workflows to optimize operational efficiency.

  • Manage appointment scheduling, including new appointments, reschedules, and cancellations.

  • Actively monitor and backfill canceled appointments to maintain full scheduling capacity.

  • Serve as a liaison between patients, technologists, and referring offices to ensure timely communication and excellent service.

  • Provide patients with clear instructions and preparation guidelines for imaging procedures.

  • Maintain accurate and timely documentation in the electronic medical record system.

  • Handle patient concerns or inquiries with empathy and professionalism; escalate issues as needed.

  • Verify insurance information and ensure all required forms and consents are completed.

  • Assist in maintaining a clean, organized, and efficient front office and waiting area.

Qualifications:

  • High school diploma or equivalent required; associate or bachelor's degree preferred.

  • Minimum of 1–2 years experience in a healthcare or medical office setting, preferably in imaging or radiology.

  • Strong customer service skills with a warm, empathetic, and patient-focused demeanor.

  • Excellent organizational and time management skills.

  • Ability to multitask in a fast-paced environment while maintaining attention to detail.

  • Proficient in scheduling software, EMR systems, and basic office applications (e.g., Microsoft Office).
