SCOPE: The Executive Coordinator is responsible for providing executive-level operational and administrative support to a member or members of the Executive Leadership Team.
ESSENTIAL FUNCTIONS:
- Partner closely with the executive to ensure cohesive communication and healthy collaboration in executing domain and organizational strategies.
- Responsible for all aspects of the executives’ administrative operations, including but not limited to coordinating schedules, processing expense reports, processing invoices, preparing correspondence, organizing travel, and managing competing priorities. Uses sound decision-making to manage calendar activities in a manner that maximizes the executives’ availability and anticipates needs, allowing for proper meeting preparation.
- Lead, manage, and facilitate projects on behalf of the executive. Successfully complete critical aspects of deliverables with a hands-on approach.
- Prioritize conflicting needs; handle matters expeditiously and proactively; follow through on projects to successful completion, often with deadline pressures; work closely and effectively with the executive to keep him well informed of upcoming commitments and responsibilities, following up as appropriate.
- Facilitate, coordinate, and, when necessary, lead key domain meetings on behalf of the executive when commissioned by the executive.
- Coordinates meetings, including preparing and distributing agendas and other meeting materials, reserving, and preparing facilities, and recording meeting minutes.
- Answer and screen phone and email communication in a professional and timely manner; take accurate messages with a high degree of professionalism and arrange conference calls.
- Act as liaison between the executive and internal and external stakeholders.
- Collaborate with the executive to develop and implement systems and reporting to enhance the effectiveness of domain activities and results.
- Maintain confidentiality of work-related issues, records, and company information.
- Collaborate with Executive Chief of Staff to refine existing systems for performance measurement and goals for the domain as they relate to the organizational KPIs.
WORK ENVIRONMENT:
This job operates in a professional office environment and routinely uses standard office equipment such as laptop computers and smartphones. There will be prolonged periods of sitting at a desk and working on a computer. Occasionally required to lift, push, or carry items up to 50 pounds.
SUPERVISORY RESPONSIBILITY:
This position has no supervisory responsibility.
TRAVEL
Domestic travel for retreats and meetings is required. No more than two to three weeks of the year.
OTHER DUTIES:
- Attend and participate in a variety of meetings and task force groups as directed and maintain required level of knowledge pertaining to operating procedures, requirements, processes and policies.
- Lead and or participate in projects or task force groups that focus on issues having organization-wide impact.
- Perform or assist with any assignments as required or directed.
QUALIFICATIONS:
- Strong faith in Jesus Christ as Savior; God-honoring lifestyle.
- Passion for the Word of God and provision of the Word for every people group.
- Championing Seed Company’s vision, mission, and values.
- Requires a Bachelor’s degree in Business Administration or equivalent work experience.
- Requires a minimum of three to five years of experience in an administrative capacity or a business support role.
- Excellent knowledge of Microsoft Suite applications and other tools to support communication and presentations from the executive’s office.
- Professional demeanor and excellent written and verbal communication skills.
- Superb interpersonal skills and the ability to build relationships.
- Complex meeting scheduling experience is preferred,
