Summary/Objective
This position is responsible for day-to-day operations of the corporate office location and the overall management of the administrative staff, performing a variety of administrative and event planning related tasks, to ensure smooth operations and a professional environment.
Essential Functions
- Supervises administrative team members providing direction, clarification and feedback as necessary.
- Schedules administrative staff to ensure adequate coverage during operating hours.
- Selects administrative employees and manages individual and team performance, including any development and/or corrective action that may be required.
- Ensures all administrative staff are properly trained in company procedures, safety and equipment/systems usage.
- Manages the reception function to ensure it reflects the highest standards of customer service and professionalism, both internally and externally.
- Oversees maintenance and alteration of corporate facilities, including layout, arrangement and vendor management (property cleaning, parking, equipment service, hospitality, etc.) to ensure compliance with relevant agreements and required services.
- Coordinates with support departments on workspace assignments and/or relocation of staff to ensure smooth transition and proper allocation of available space.
- Manages general purchasing for the location (office supplies, office equipment, etc.) in accordance with the company’s purchasing policies and budgetary guidelines.
- Audits and reconciles invoices for office services and other third-party vendors, ensuring accurate and timely remittance.
- Serves as primary administrator of the location’s business continuity plan.
- Prepares and publishes internal employee updates daily via the electronic communication announcement boards.
- Assists with event planning activities and logistics as needed.
- Serves as a backup in other administrative functions as needs dictate.

Required Education, Experience, Certifications and Licensure
- High School Diploma or Equivalent. Some college preferred.
- Minimum three to four years administrative experience.
- Minimum of two years of previous experience in office management.
- Valid state issued driver’s license in good standing and acceptable driving record.
Additional Eligibility Qualifications
- Able to read, write and speak English fluently. Bilingual is a plus.
- Attend and perform work in a professional and courteous manner in accordance with the employer’s requirements.
- Ability to be a self-starter and resolve issues with minimal supervision.
- Ability to train, direct and motivate staff.
- High degree of overall computer proficiency.
