Job Summary

Osborn Insurance Group is seeking a highly organized and detail-oriented Administrative Assistant to support our team. The ideal candidate will possess excellent communication skills, strong multitasking abilities, and a proactive attitude. The Administrative Assistant will play a key role in ensuring the efficient operation of the office, providing administrative support to various departments, and contributing to the overall productivity of the organization.

Primary Responsibilities:

  • Office Management: Manage office supplies, coordinate maintenance requests, and ensure all office equipment is in working order.

  • Communication: Act as the primary point of contact for internal and external communications, including answering phone calls, responding to emails, and greeting visitors.

  • Scheduling: Coordinate and schedule meetings, appointments, and travel arrangements for team members. Prepare meeting agendas, take minutes, and follow up on action items.

  • Document Management: Create, edit, and maintain various documents, reports, and presentations. Ensure all files are properly organized and accessible.

  • Data Entry: Accurately input and update data in company databases and systems. Generate reports as needed.

  • Administrative Support: Provide administrative support to various departments, including handling correspondence, organizing files, and assisting with special projects.

  • Event Planning: Assist in planning and coordinating company events, meetings, and conferences.

  • Financial Tasks: Process invoices, track expenses, and assist with budget management.

  • Customer Service: Provide exceptional customer service to clients, partners, and employees. Address inquiries and resolve issues promptly and professionally.

Primary Skills & Requirements:

  • Education: High school diploma or equivalent; associate or bachelor’s degree in business administration or a related field is preferred.

  • Experience: Minimum of 2 years of experience in an administrative or office support role.

  • Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), strong written and verbal communication skills, excellent organizational and time management skills, ability to multitask and prioritize tasks effectively, attention to detail and problem-solving skills, strong interpersonal skills and ability to work collaboratively in a team environment, discretion and confidentiality in handling sensitive information.
