About the role

The occupant of this position will act as the personnel and resource coordinator to the respective Director and/or Executive Directors, with duties supporting the residential staff of the School of Aeronautics. Additionally, this person will function as the International Student Liaison. The International Student Liaison manages the recruiting, orientation, and training coordination of international aviation students for the Liberty University School of Aeronautics to meet their specific and differentiated training and support needs. The International Student Liaison supports students from one or more of the world regions, Asia, Europe, Africa, Central/South America, or the Middle East. The occupant will be part of a fast-paced team. Job duties will include but are not limited to: Workday SME for LUSOA, human resources processes including payroll process, time off requests, personnel action forms, schedule potential employee interviews, and updating personnel profiles; inprocesses new hires and outprocesses outgoing hires and maintains both checklists; manages departmnet calendars; arranging travel; procuring supplies and reconciling purchasing card transactions; creating specific requisitions, purchase orders, contracts, and services; coordinates facility maintenance issues/updates with facility manager/Liberty workorder process; coordinates badge access with all staff members for airport hangar, simulator, and maintenance facilities; drafts/submits building renovation PIF project requests; Safety Committee administrator and scheduler; managing IT workorder requests regarding computer and any other technical needs/issues; answering phone calls from external/internal customers, potential students, current students, and current/prospective staff; coordinating planning meetings and special events; coordinating special guest tours; and providing general assistance to respective Director and/ or Executive Directors as well as other keystaff members. This position requires someone that is able to work independently, well under pressure, and in a fast-paced environment, while exercising sound judgment.

Essential Functions and Responsibilities

1. Manages all aspects of the respective department subdivision staff human resources processes including: Workday SME, payroll process, time off requests, personnel action forms, maintains forms trackers, schedule potential employee interviews, and updating personnel profiles/files

2. International Student Liaison: manages the recruiting, orientation, and training coordination of international aviation students for the Liberty University School of Aeronautics to meet their specific and differentiated training and support needs.

3. TSA Linebadge administrator for LUSOA (in coordination w/LYH Airport Police); ensures compliance with TSA line badge guidelines and coordinates administrative requirements for respective department staff badging; verifies need for badge access for all LUSOA employees.

4. Coordinates the inprocessing of new hires and outprocessing of outgoing hires and maintains both checklists: Equipment issue, LYH airport badge access, LUID access, add to IP payroll roster, add to email distribution lists, add to picture board, locker assign, explain pay processes and unit leave program.

5. Coordinates facility maintenance, projects, improvements, and issues with facility manager/Liberty workorder processes: drafts/submits building renovation PIF project requests/

6. Submits/reviews IT workorder requests regarding computer and any other technical needs/issues.

7. Manages resource requirements - create specific requisitions, purchase orders, contracts, and services.

8. Maintains all calendars related to respective department subdivision.

9. Coordinates catering for special events.

10. Safety Committee administrator, scheduler, and member.

11. Maintains and books travel schedules as required for respective subdivision staff.

12. Coordinates executive visits to respective department locations as necessary.

13. Processes organizational correspondence, responsible for record-keeping, and file management for respective department subdivision.

14. P-card reconciliation:

  • Monitors and reconciles purchasing cards for respective Director/ Executive Director and respective subdivision staff.

15. Budget Monitoring 

  • Monitors subdivision budget via computer systems and coordinates with SOA budget office as necessary 
  • Creates requisitions specific to department subdivision as necessary 

16. Promptly responds to both internal and external emails.

17. Possesses exceptional telephone and speaking skills: Takes calls and properly routes to the appropriate person or
