The Executive Administrative Assistant Lead is responsible for providing high level administrative support to the global Chief Financial Officer, and their respective teams, including Finance, Accounting, Investor Relations and Global Telco.  In this role, you will serve as a dependable ally to the leaders you support, offering consistency, sound judgment and reliability. This individual must be capable of multi-tasking while working in a fast-paced and complex environment across multiple time zones. The ideal candidate will anticipate the needs of the leaders and their respective teams, take initiative to solve problems independently, and expertly manage calendars and communications with efficiency. The successful candidate will orchestrate high impact meetings and events, appropriately handle confidential and sensitive information, and exercise prioritization and discretion.

We are looking for an Executive Administrative Assistant Lead who will:

  • Skillfully manage the intricate calendars of the CFO and senior executives, optimizing scheduling, prioritizing commitments, and ensuring efficient use of their time to maximize productivity and effectiveness.

  • Facilitate complex domestic & international travel arrangements, including visa and passport management, ensuring seamless itineraries, comprehensive agendas and logistical support for the CFO’s travel engagements.

  • Independently project manage assigned initiatives, end to end, with limited supervision.  Exercise self-direction, good judgment and diligence in identifying resources, mapping out and executing action plans, gathering and organizing data, and communicating with involved parties.  Keep executives informed as necessary.

  • Collaborate closely with internal partners to manage organization specific programs, including the CFO recognition program, mentorship program and culture initiatives.

  • Plan and coordinate special events, including quarterly business updates and summits, including hotel and meeting space procurement, contract negotiation, vendor management, room block management, team building activities, travel and ground transportation logistics, catering, etc.

  • Structure and organize meetings such as the weekly staff meetings, quarterly all-hands, quarterly town-halls and supporting company meetings.

  • Prepare moderate to complex materials needed by executive for general meetings and appointments. Create and maintain files, documents and other records, as requested, in support of the organization. Maintain optimal security in storage of confidential information, ensuring privacy.

  • Provide administrative support to finance, accounting, investor relations and global telco teams as needed.

  • Hold a Bachelor’s degree or equivalent combination of education/experience

  • Minimum 10 years of progressively responsible experience in an executive administrative assistant role, supporting C level teams

  • Proven success of coordinating cross-functional teams and resources to achieve program objectives within a global environment

  • Demonstrated ability to build and maintain effective relationships with internal and external stakeholders, including C level teams

  • Proven track record of independent judgment and decision-making when faced with matters of a confidential and/or non-routine nature

  • Strong planning and organizing skills with an emphasis in project management and delivery

  • Ability to anticipate needs based on extensive knowledge of the Company, department and/or business unit

  • Requires a high level of integrity and ability to exercise discretion in handling confidential information/materials

  • Excellent attention to detail

  • Excellent written and verbal communication skills

  • The ability to take initiative and work under minimal supervision

  • Ability to work well under pressure and prioritize multiple assignments and activities

  • Ability to deal professionally and diplomatically with individuals at all levels both internally and externally, including members of senior management

  • Proven skills in the areas of decision-making and conflict resolution
