The Clinical Site Office Manager directly supervises and coordinates the activities of clinical and administrative support workers. The Clinical Site Office Manager’s goals are to ensure a positive patient experience, continuing Joint Commission readiness and a positive working environment for employees.

Responsibilities of the Clinical Site Office Manager:
- As applicable, supervise the work of the Assistant Clinical Site Office Manager, medical receptionists, and medical assistants, working with the Human Resources Department to recruit, screen, hire, orient, train, direct and monitor work, provide ongoing performance feedback and formal performance evaluations, implement corrective actions and make employment termination decisions
- Ensure that staff adhere to customer service, quality, safety and patient confidentiality standards, deadlines, and procedures, correcting errors or problems
- Resolve patient complaints and answer patients’ questions regarding policies and procedures
- Provide employees with guidance in handling difficult or complex problems or in resolving escalated complaints or disputes
- Monitor and enforce employees’ participation in and completion of training assignments (including but not limited to Healthstream training)
- Prepare and review records or reports pertaining to activities such as production and payroll to verify details, monitor work activities, or evaluate performance
- Interpret and communicate work procedures and company policies to staff
- With the assistance of the Human Resources Department, create and implement performance improvement plans and corrective actions as needed
- Maintain records pertaining to inventory, personnel, orders, supplies and machine maintenance
- Monitor inventory levels and requisition or purchase supplies as needed
- Manage the physical facility, monitoring and coordinating building and medical equipment repairs, maintenance and cleanliness
- Attend and participate in meetings as requested
- Coordinate with clinical staff to address scheduling or patient interaction issues
- Track office keys and other office property
Requirements
MINIMUM OBJECTIVE QUALIFICATIONS:
- High school diploma or GED
- Post-secondary education in business, finance and/or healthcare
- One year of clinical work experience in the healthcare industry as a medical assistant or in another clinical role
- Five years of supervisory experience
- Experience with Microsoft Outlook, Word, Excel and PowerPoint
