BASIC FUNCTION:

The Archives Associate provides public, technical, or clerical services to support University Archives activities.

SUPERVISORY ACCOUNTABILITY:

Functions as lead person in absence of senior staff.

NATURE AND SCOPE:

Internal contacts may include Howard University administrators, faculty, students, and staff. External contacts may include visiting scholars, consultants, vendors, and the general public.

PRINCIPAL ACCOUNTABILITIES:

  • Processes routine user requests and assists users in an ever changing, complex, physical, and virtual academic research center environment.

  • Organizes, maintains, retrieves, and distributes or delivers print and multimedia sources.

  • Accessions, prepares, and processes print or multimedia resources.

  • Processes and maintains accessions records for print and electronic materials.

  • Photocopies and/or scans materials and maintains appropriate statistics and reports.

  • Analyses data and prepares reports and correspondence.

  • Maintains records, including data collection, input, review, and modification.

  • Prepares routine requests and written communications.

  • Resolves routine and non-routine department and work unit problems.

  • Monitors facilities, including entrance and exit points; opens, closes, and secures public and non-public areas.

  • Maintains unit workflow based on awareness of how the unit interfaces with other units and departments.

  • Provides input to improve department procedures and operations.

  • Lifts, moves, and assembles archival materials, furniture, and equipment.

  • Performs other job-related duties as assigned.

CORE COMPETENCIES:

  • Competence in oral and written English.

  • Ability to plan, organize, and coordinate workflow.

  • Knowledge of and ability to assist others with information tools.

  • Skilled in the use of personal computers and software.

  • Knowledge of standard office and library/archival equipment, including computers, copiers, scanners, microfilm machines, and peripherals.

  • Ability to set up and use archival/library equipment, including media.

  • Aptitude for detail and accuracy.

  • Ability to establish and maintain effective communication and relationships with supervisors, co- workers, faculty, staff, students, donors, researchers, university officials, and the public.

  • Ability to work effectively with people from a variety of culturally diverse backgrounds.
