About the role

Overview

We are looking for a driven and highly organized Executive Assistant who thrives on anticipation, adaptability, and accuracy. This role plays a vital part in enabling the CEO and CMO to perform at their highest level by ensuring seamless C-suite operations and trusted day-to-day support.

Executive Assistant Support
  • Manage calendars, schedule meetings, and coordinate travel arrangements for CMO and CEO.
  • Handle confidential and time-sensitive information with professionalism.
  • Following up on email w/ prospective new biz clients, to schedule meetings or follow-up conversations based on our availability.
  • Provide general administrative support, including expense reporting and timesheet submission via Mavenlink and Maconomy.

Overall Agency Support

  • Assist with logistics coordination for staff functions and events (e.g., Camp, Holiday Party, etc.)
  • Handle agency mailings and ensure correspondence is routed to the appropriate parties on a weekly basis.
  • Manage agency subscription library ensuring payments and details are up to date.
  • Assist on other internal projects as needed, assuming bandwidth allows.

Qualifications

Qualifications & Skills

  • Bachelor’s degree
  • Strong organizational and multitasking skills with keen attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel) and Google Workspace.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • A proactive, problem-solving mindset with the ability to work independently.
  • Ability to maintain composure under pressure.
