POSITION SUMMARY:
This position is in the Criminal Justice Information Services Division (CJIS), reporting to the Director’s Office section. This is a full-time position that works with the agency to perform a variety of tasks involving organization and coordination of activities in the Director’s Office, which also involves the four bureaus and three specialized entities in the Division. The incumbent will assist the Director and Deputy Director in coordinating, scheduling, and implementing the activities of various groups.
DUTIES & RESPONSIBILITIES:
Specific duties include:
- Planning, initiating, and coordinating a variety of complex administrative activities to ensure that the Division’s policies, procedures, and functions, are thoroughly adhered to according to standards set by the Director and Deputy Director;
- Assisting with preparing reports, presentations, and responses to include typing information, making edits and formatting documents for final submission;
- Continually monitoring projects and assignments to ensure proper and timely follow-up and completion by assigned staff. Responsible for coordinating, verifying, and timely submission of weekly, monthly, and quarterly reports of office activities;
- Responsible for coordinating and reviewing all quarterly line inspection reports and consults with division office safety coordinator to address problems/concerns;
- Reviewing, assisting, and tracking travel vouchers and reimbursements for the Director’s Office, CJIS Council members, symposium speakers, and CJIS members to ensure compliance with all departmental and state rules and regulations;
- Providing back-up fingerprinting services to the public as requested or in the absence of assigned staff;
- Maintains a thorough knowledge of Department programs and services to assist customers in resolving problems or responding to requests for assistance, and routes those requests to the appropriate areas or individuals;
- Assisting with answering incoming phone calls for the CJIS Director’s Office, CJIS Director, and CJIS Deputy Director;
- Assisting the Director and Deputy Director in researching materials, preparing various reports, drafting correspondence, and in the preparation of materials and PowerPoint slides in connection with presentations to and for the Commissioner and/or Executive Policy Board and other entities as necessary; and
