Job Description
X-energy LLC is hiring an experienced Executive and Operations Assistant to support its Global Business Development team. This position supports departments and/or lead personnel in the establishment and implementation of processes and methods that enable efficient office performance. This position is responsible for exercising independent judgment and initiative to provide a wide range of administrative & managerial support. Responsibilities include oversight of calendar management, coordination of business meetings, preparing reports, conducting data analysis, and maintaining standard business conduct and reporting processes.
Job Tasks/Responsibilities
- Handle office tasks, such as filing, generating reports and presentations, setting up for meetings, managing leadership personnel calendars, and reordering supplies.
- Coordinate department communications, including taking/making calls, responding to emails, and interfacing with external and internal guests.
- Develop and maintain an organized filing system of paper and electronic documents, reports, and analyses.
- Record meeting minutes and track actions from meetings.
- Conserve department leadership's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; reviewing quality-related documents for accuracy and compliance; and initiating telecommunications.
- Produce correspondence, PowerPoint presentations, senior-level meeting agendas, internal and external email communication.
- Coordinate travel and assist with business travel arrangements including planning and scheduling, booking tickets, hotels reservations and local transportation arrangements.
- Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Compile expense reports and maintain expense tracker spreadsheet as requested.
- Function as a department Culture Ambassador by developing and sustaining a level of professionalism among staff and clientele.
- Analyze and suggest more efficient ways to run the office and troubleshoot malfunctions.
- Support, as appropriate and time allows, a myriad of office departments/functions to ensure an optimal level of department efficiency. This may include, but is not limited to, Human Resources, Legal, Communications, and Government Affairs in addition to the Corporate office.
- Uphold a strict level of confidentiality.
- Perform other duties as assigned by manager.
Minimum Qualifications
- High School Diploma. Bachelor’s degree in Business Administration is preferred.
- 15-19 years of administrative experience.
- Proficiency using Microsoft Office Tools (Word, Excel, PowerPoint, Outlook).
- Excellent written, verbal, editing, interpersonal, management, and organizational skills.
- Self-starter with an ability to independently manage competing priorities in a complex and dynamic environment.
- Proven ability to multi-task with excellent time management and attention to detail.
- Able to work independently with little supervision and guidance and handle highly confidential and sensitive information.
- High level of motivation, self-initiative, flexible to shifting priorities, and able to thrive when working under pressure.
- Strong computer and research skills, excellent interpersonal skills, project coordination and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors, to include sub-contractors and consultants.
- Excellent communicator.
- Professional attitude and appearance.
- Ability to both focus and accommodate changing priorities.
Preferred Qualifications
- The ability to be a strategic collaborator and work alongside other administrative staff as needed.
