Schedule: 8:00 AM – 4:30 PM
Location: Riley Hospital

Position Overview

This role provides essential administrative and technical support to leaders and teams at Riley Hospital. Key responsibilities include managing schedules and calendars, coordinating meetings and travel arrangements, processing invoices, and responding to inquiries. The position operates with general guidance and is expected to address routine administrative and technical issues as they arise.

Additionally, this role assists in managing and scheduling new patient referrals, including obtaining necessary medical records, creating new charts in the EMR, and contacting patients or families to schedule appointments.

Upon successful completion of a 6-month training period, this position may become hybrid.

Key Responsibilities

  • Manage schedules and calendars for team leaders

  • Coordinate meetings and travel arrangements

  • Process invoices and expense reports

  • Respond to internal and external inquiries

  • Provide general administrative and technical support

  • Troubleshoot basic issues as needed

  • Assist with new patient referrals, including:

    • Gathering medical records

    • Creating EMR charts

    • Scheduling appointments with patients/families

Qualifications

Education:

  • High School Diploma or GED required

Experience:

  • 0–3 years of relevant experience

  • Previous administrative experience preferred

  • Experience in a matrixed organization or complex work environment is a plus

Skills:

  • Basic proficiency in Microsoft Office Suite (Word, PowerPoint, Excel)

  • Strong organizational and communication skills

  • Ability to manage multiple priorities independently
