Overview
The Department of Social Work in the College of Humanities and Social Sciences is seeking a Bachelor of Social Work (BSW) Program Assistant III to join our team and provide pivotal support to the BSW Program Director. The BSW Program Assistant serves as a key liaison between students, academic advisors, and program leadership, ensuring a cohesive educational experience for all students from program admission to graduation. This position involves diverse responsibilities, ranging from student record management to facilitating the orientation of newly matriculated students. The BSW Program Assistant will play a crucial role in enhancing the success, overall effectiveness, and growth of the BSW program while also contributing to the advancement of the Master of Social Work (MSW) program.
Responsibilities
- Composes and word-processes various standard documents, correspondence, and reports.
- Maintains information related to the BSW program on the social work website.
- Manages BSW catalog listings and updates.
- Coordinates program recruitment efforts with the Outreach and Field Program Director and participates in recruitment efforts when able (e.g., Day on the Quad).
- Organizes the BSW program applications and oversees the application process, assisting students throughout.
- Organizes the collection of faculty feedback regarding program applicants.
- Coordinates with the BSW Program Director in reviewing program applicants and faculty feedback to make admissions decisions to accept, accept with conditions, or decline.
- Administers the matriculation and orientation of newly admitted students.
- Tracks and adjusts program standing and enrollment statuses of BSW students, including conditions of acceptance, success plans, and leaves of absence.
- Coordinates program administration with the BSW Program Director.
- Maintains and manages BSW student records within eMedley (department-specific software).
- Manages the creation and maintenance of forms within Qualtrics.
- Works closely with social work's academic advisors to ensure students are receiving up-to-date and accurate information.
- Works with Graduate Program Coordinators and Directors to share records and discuss MSW program applicants when they are BSW graduates or near-graduates.
- Provides administrative support, including scheduling appointments and coordinating meetings/conferences.
- Assists students, staff, and superiors with varied, complex, and non-recurring questions and/or problems related to the BSW program.
- Helps students navigate their educational experience from admission to graduation.
- May be a student’s first contact when they have program-related questions or concerns.
- Performs office duties, including answering phones, directing calls to appropriate parties, data entry, filing, greeting and directing visitors, and other general duties as assigned.
- Provides non-business-related support for departmental programs and projects.
- Performs miscellaneous job-related duties as assigned.
Qualifications
Minimum Qualifications:
- Four years of experience; or an associate degree/technical training plus two years of experience; or a bachelor’s degree is required.
Knowledge, Skills, and Abilities:
- Skilled with computer programs and related software (technical aptitude).
- Excellent critical thinking skills.
- Skilled in creative problem-solving.
- Skilled with basic office equipment, including printers, copiers, and telephone systems.
- Good organizational skills.
- Strong verbal and written communication skills.
- Ability to handle sensitive and confidential business data and personal information.
- Ability to work without supervision.
- Knowledge of University policies and procedures.
- Excellent customer service skills.
