Save the Children is seeking a Lead Associate, Finance & Operations to support the Policy, Advocacy, & Campaigns (PAC) and Save the Children Action Network (SCAN) teams. In this role, you will report to the Senior Advisor, Finance & Operations and will be responsible for financial accounting entries, award management, timesheet adjustments, tracking budget vs. actuals, monitoring incoming revenue donations, and performing financial data analyses as needed.
What You’ll Be Doing (Essential Duties)
Finance Data Input, Preparation, and Tracking (40%)
- Prepare monthly SCAN bank reconciliation to be reviewed by SCAN Treasurer
- Prepare and submit monthly report of online donations to Finance division for upload to BBEC revenue system
- Upload receipts and apply appropriate coding for monthly credit card reconciliation
- Review receipts uploads and follow up with purchasers as needed
- Submit PAC and SCAN invoices with correct coding to Accounts Payable
- Maintain proper vendor management to include uploading signed contracts to the repository as well as creating and updating spend trackers to verify spending patterns
- Generate monthly Budget versus Actual reports and Life of Award Reports
- Run and review reports to determine financial risks and contribute to development of solutions to mitigate risks
- Prepare and submit timely financial accounting entries with accuracy and proper coding
- Maintain and reconcile investment accounts
- Assist with grant reporting to donors
Award Management (25%)
- Prepare monthly divisional financial dashboard and provide analysis to budget holders on spending trends and budget status
- Along with PAC Finance team, meet with PAC budget holders monthly, or as needed, to confirm planning and alignment between Finance and program staff on funding gaps or underspending
- Responsible for all PAC and SCAN award information being input in AMS (Award Management System); run AMS workflows for each phase of the award life cycle
- Through award reports, review spending on PAC and SCAN awards to ensure adequate and appropriate spending levels
- Serve as a trusted resource for financial questions from budget holders and program staff
Operations Support (20%)
- Responsible for ensuring adequate cash flow in SCAN bank accounts to account for all upcoming expenses
- Uphold grant agreement between SCAN and SCUS, while developing quarterly cash requests to SCUS to replenish SCAN’s accounts
- Ensure state charitable solicitation registrations, renewals, and financial reports are accurate and submitted as required
- Update online donation tracker by state to track incoming revenue
- Submit payments and track electoral (501c4) costs per state to ensure compliance with electoral reporting requirements in each state
- Inform the Legal and People & Culture departments when state expansion is planned and ensure appropriate business licenses are on file
- Execute policy evaluations to ensure ongoing compliance
- Develop, implement and maintain/update PAC and SCAN policies as required
Continuous Improvement and Efficiency (15%)
- Ensure new employees are oriented to finance policies and procedures
- Support PAC Finance team as a Timesheet Coordinator to revise previously submitted timesheets when necessary
- Provide data and support for continuous improvement and efficiency projects
- Serve on the Travel Council, which consists of one staff member from each division that can participate in monthly and quarterly meetings to share the division’s feedback, challenges and/or issues that staff have experienced with the process or with the service. This would include any issues with our Travel Management Company, Atlas Travel
