About the role

Mary's Woods is seeking an Office Assistant with exceptional communication skills to support our Housekeeping department. As the Office Assistant, you will perform a variety of administrative and clerical duties. This position is primarily in support of the Housekeeping Office and requires an energetic individual with excellent customer service and organizational skills.

Mary's Woods is a non-profit senior living community founded in 2001. We offer independent living, assisted living, memory care and residential care in a park-like setting on 40 acres in Lake Oswego. Below are some of the core responsibilities, experience and skills needed to be successful:

  • Answer calls from residents regarding housekeeping schedules and other inquiries
  • Perform clerical tasks as assigned - including scheduling, record keeping, and filing
  • Keep office supplies organized, readily available, and accessible for all members of the Environmental Services Team
  • Assist in the creation and delivery of correspondence informing residents of housekeeping-related items
  • Schedule maintenance for daily housekeeping schedule, adjusting as needed throughout the day
  • Able to relate positively and favorably to staff, residents, and families and to work as a team with other employees at all levels
  • Ability to multi-task and use maintenance work order software (WorxHub)
  • Works independently and follows key objective and strategies with ability to solve problems, assess risks, and make decisions responsibly

Education and Experience Required:

  • Education and/or experience equivalent to the completion of a High School Diploma or GED
  • Minimum one year of experience in administrative clerical tasks or a client-facing scheduling role

Schedule:

  • Monday - Friday from 8:00 AM - 4:30 PM

The starting wage depends on experience, certification and education. This is a full-time, non-exempt position.
