Job Description:
The National Association of Insurance Commissioners (NAIC) has an exciting opportunity for a Sr. Meetings & Events Planner to join our team. The Senior Meeting Planner role is responsible for managing events coordinating, and executing high-quality meetings and events, ensuring they run smoothly and meet the objectives of NAIC Members and staff. This role leads multi-day, complex projects throughout the key phases of meeting planning such as contracting, logistical planning, budgeting, and on-site management for the NAIC’s large-scale events. This position requires significant experience in these areas, demonstrating a proven track record of planning and executing multifaceted city-wide conferences. The ideal candidate is a proactive problem-solver, an excellent communicator, and thrives in fast-paced, customer-facing environments. Key competencies include exceptional organizational skills, attention to detail, and adeptness in managing multiple projects simultaneously.
This is a full time position, working a hybrid schedule based out of our Kansas City, Missouri office.
Responsibilities:
Lead the planning and execution of assigned annual NAIC meetings across the United States. Works closely with NAIC Members, internal staff, regulatory staff, vendors, and other third parties in a friendly, professional, and responsible manner.
Use sound decision-making to coordinate multiple facets of pre-planning and on-site execution of meeting space logistics, including but not limited to rooming, audiovisual requirements, and food & beverage services.
Develop and oversee event timelines and run of show; serve as a lead event coordinator with production company vendors and IT teams.
Negotiate and manage various contracts and ensure responsible spending and record tracking. Participate in budget management functions as assigned.
Coordinate efforts with internal stakeholders and team members to ensure communications in areas such as registration, room scheduling, IT, Commissioner Services, and the Executive team to ensure all event logistics are in place.
Provide guidance and support to fellow team members as needed.
Respond to meeting-related inquiries; communicate professionally and courteously in written, verbal, and nonverbal interactions.
Stay current with industry trends and event planning/management best practices in strategy, technology, and customer service.
Required Travel:
Requires overnight travel for multiple days at least seven times a year. Travel includes three National Meetings per year, which requires seven days of travel per event. Additional travel as assigned.
Minimum education and/or required experience:
Minimum eight years’ experience in meeting and events planning, hospitality, or convention services required.
Preferred Education:
Bachelor’s degree in hospitality, business, marketing, communications, or related field preferred. CMP (Certified Meeting Professional) designation.
Compensation:
Starting at $70,521 up to $91,000. To be commensurate with experience and education.
