Associate - COO Office and Site Engagement Support

- Plan and execute site-wide events, including employee networking activities, senior management visits, public events, and charitable engagements.
- Manage logistics, marketing, and budgeting for events to ensure seamless execution.
- Develop and implement communication strategies, including drafting site-wide newsletters, managing content on internal websites, and preparing presentations for stakeholder meetings.
- Manage the site management event calendar, working with the various teams and stakeholders to resolve scheduling conflicts.
- Assist in the preparation of reports and presentations for site governance and stakeholder management.
- Support the budgeting process by facilitating approvals, processing payments and expense reports.
- Maintain and manage site documentation and key correspondence.
- Back up for calendar and travel support (as needed)
- Contribute to special projects and support other US Global Centers as needed.
- Maintain confidentiality of all sensitive communications and documentation.
- Bachelor’s degree or equivalent experience in business administration or a related field.
- Strong project management and event planning skills.
- Excellent organizational abilities with the capacity to manage multiple priorities effectively.
- Exceptional communication skills, both written and verbal, with the ability to tailor messages for different audiences.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and experience with internal websites and collaboration tools (HTML, Jive Platform, Microsoft Teams, SharePoint).
- A proactive, self-starter attitude with a high level of professionalism and discretion.
- Ability to thrive in a fast-paced, dynamic environment.
- Experience in internal communications and corporate events (employee engagement, client, etc.)
- Strong writing, editing, and content development skills.
- Meticulous attention to detail.
- Strong interpersonal skills and the ability to work collaboratively across teams.
- A positive, enthusiastic team player who is willing to take on additional responsibilities as needed.
