POSITION EMPHASIS: This two year term position supports the NEA's strategic objective to focus the energy and resources of its 3 million members towards the promotion of public education by handling all strategic scheduling and logistical planning for the Senior Director of EPIC and the office of International Relations.
POSITION SUMMARY: This position involves providing executive scheduling, in addition to high-level technical, program, and administrative support to the Senior Director of the Education Policy and Implementation Center (EPIC). The primary responsibilities of this position include scheduling and calendar management, conference and meeting administration, such as logistics, registration, material preparation, on-site coordination, and related administrative details. The incumbent is also responsible for helping coordinate the engagements and invitations for partners, international guests and members and providing consultation, advice and professional expertise in the area of scheduling engagements and logistics to the Senior Director. Other responsibilities include making travel arrangements, developing, writing and editing materials, coordinating print production and responding to inquiries relating to NEA programs, as assigned. The incumbent functions include administrative responsibilities, such as preparing, processing and/or reviewing vouchers; and handling office printing and mailings. The work also involves using a computer and/or laptop and associated software to give assistance to staff, prepare a variety of documents, including correspondence and reports, develop and maintain databases, and develop spreadsheets, graphs, tables, and presentation materials.
This position is a DC-based position with NEA's headquarters building serving as the central workplace. Individuals who are hired for certain positions may request approval for telework in accordance with the policies and guidelines for the staff unit to which the position is assigned. MINIMUM EDUCATION REQUIREMENT: Associate of Arts degree, preferably in business administration or equivalent. MINIMUM QUALIFICATIONS: Three years of progressively responsible office experience providing administrative support including gathering, analyzing and assimilating data and information; developing, writing and editing a variety of materials; planning and implementing meeting logistics and travel arrangements. OTHER REQUIREMENTS: Skill and clerical tests may be administered.* Work samples (e.g. reports and database) may be required at interview. Availability to work extended hours on evenings and weekends. Travel required, possibly international (15 – 30 overnights per year).
Selection Criteria: Tier 1 (Essential): Proven experience providing strategic scheduling to an organization executive. Effective interpersonal and customer service skills to interact with all levels of staff, members, partners and governance. Demonstrated skill in coordinating meeting and travel logistics. Demonstrated ability to work independently and collaboratively as part of a team. Ability to handle multiple and complex tasks simultaneously under stringent time frames and changing conditions. Demonstrated use of sound judgment for decision-making and ability to follow through on tasks with minimal supervision. Ability to create reports and resources for purposes of tracking work. Successful references. Tier 2 (Significant): Experience collecting and synthesizing data and developing presentations. Demonstrated initiative in using technology to improve efficiency and effectiveness of work and office operations. Tier 3 (Desirable): Knowledge of the mission, vision, and values of the National Education Association.
