The University of Miami Health System, "UHealth", Department of Pediatrics has an exciting opportunity for a Full-Time Executive Director, Clinical Operations to work in Miami.

The Executive Director, Clinical Operations, assumes responsibility for the direction and management of the assigned clinical facilities. This position oversees fiscal planning, management and patient accounting, budget and audits, disbursement, personnel management, space planning, inventory control, and general administration. Moreover, the incumbent strives to increase physician and patient satisfaction.

Core Responsibilities:   

  • Ensures that all patients, physicians, and staff complaints are appropriately addressed in accordance with University policies.

  • Monitors the activities and operations of the assigned units to ensure goals and objectives are met.

  • Develops system-wide policies and procedures, assuring best practices and consistent standardized high-quality care is provided at all locations.

  • Optimizes staffing models, patient throughput and satisfaction, and ensures efficient utilization of exam room resources.

  • Implements new programs to create innovative approaches to care and establish best practices.

  • Oversees compliance with regulatory agencies and professional organizational standards.

  • Oversees, mentors, trains, motivates, and evaluates department staff.

  • Plans for future growth by assessing existing and future program needs, establishing priorities, and identifying fiscal and human resources for development.

  • Participates in planning, promoting, and conducting organization-wide performance improvement activities for areas of responsibility.

  • Ensures internal control oversight and compliance with laws and regulations, safeguarding of assets, compliance with University policies and procedures, reliability of internal and external reporting, and efficiency and effectiveness of operations. Creates an effective control environment, conducts risk assessment, implements and monitors controls.

Department Specific Functions:

  • Partners with the Chair, Sr. Administrative Officer (SAO), Division Chiefs, faculty and management team in developing strategic plans and formulating policies.

  • Advises the Chair and SAO on administrative matters and represents and acts on their behalf in the rendering of business decisions.

  • Fosters a smoothly functioning, efficient, customer service-oriented organization through operational integration, anticipation of problems, the timely and effective resolution of disruptions, and the establishment and maintenance of continuous improvement programs and processes.

  • Supervises the practice management team who oversee the clinical divisions/ programs.

  • Maintains close liaison and positive working relationships with faculty, staff and all other employees interfacing with the Department including Medical School, University, Business Office, Sponsored Programs, Purchasing, Physical Plant and Controllers offices.

  • Support professional development of the workforce. Perform needs assessments to determine continuing education needs of staff. Provide appropriate opportunities for continuing education.

  • Identifies priority issues and assesses financial impact which includes clinical operations, physician billing practice, budgets, appropriate resource allocation and implementing administrative systems (Workday, Power BI, NIH electronic submissions).

  • Direct the planning and strategic formation of clinical program goals. Responsible for the administration and management of the clinical functions and programs of the department. Direct the development of policies and procedures for network-wide use in the clinical activities of the practices.

  • Provide overall administrative direction and coordination for revenue cycle management policies, procedures and programs in conjunction with central revenue cycle offices.
