Summary:
The Operations Support Representative provides support to Freedom branches, lending, contact center, member solutions, electronic services, and members for a variety of functions. These functions include assisting staff with adjustment questions and transactions; assuring quality control of transactions, maintenance documents, new loans and new accounts; completing research and adjustments; processing and maintaining all share certificate and IRA requests; ensuring Freedom’s lien is properly recorded on all collateral loans; scanning files from the branches and other departments; processing dormant accounts; and working with insurance companies to ensure proper claims are paid out.
The Operations Support Representative complies with all federal, state, and organizational policies, procedures, and processes, including (but not limited to) the Bank Secrecy Act (BSA) and Office of Foreign Assets Control (OFAC). This role maintains confidentiality of current, past, and potential members and their personal and financial information.
Essential Duties & Responsibilities:
Quality Control:
- Responsible for quality control of internal documents for new and existing accounts, including but not limited to shares, loans, certificates, IRAs, and account changes.
- Review numerous monthly reports to ensure memberships and loans are set up correctly and that Freedom has all of the correct documentation
- Responsible for monthly and yearly dormant and inactive account processing – including communicating with members through mail and outbound calling with a focus on reestablishing a full relationship to prevent escheatment of members’ funds to the state.
- Ensure scanning is performed for all titles, account maintenance, account changes, new accounts, and loan and insurance documentation.
- Process daily interoffice mail to ensure proper delivery to designated locations.
Research and adjustments:
- Process loan due date adjustment request.
- Adjust/correct interest rate request in accordance with Freedom policy or procedures.
- Process payment adjustment request (reversing, effective date, etc.).
Titles and Insurance
- Maintain reports to track all auto insurance and SIFs (Security Interest Filing) for loans.
- Process pay offs and lien releases for members and dealerships.
- Track and follow up information on vendor website for missing documents and claims including but not limited to Collateral Protection Insurance.
- Work with insurance companies for insurance settlements on total loss collateral.
- Process Total Loss claims to include but not limited to insurance settlement negotiation.
Qualifications:
- High school diploma or GED.
- Minimum of 6 months experience in banking or financial services. preferred 2 years.
- Certified IRA specialist, preferred
