Job Description

We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative support to our executive leadership. The ideal candidate will anticipate needs, manage complex schedules, and serve as a trusted point of contact for internal and external stakeholders. This role requires exceptional communication skills, attention to detail, and the ability to thrive in a fast-paced, dynamic environment.

Duties and Responsibilities:

Administrative Support

  • Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare, edit, and proofread correspondence, presentations, and reports.
  • Handle incoming communications, prioritize requests, and respond on behalf of the executive when appropriate.

Meeting & Event Coordination

  • Plan and coordinate internal and external meetings, including agendas, materials, and follow-up actions.
  • Arrange logistics for conferences, board meetings, and special events.
  • Take meeting notes, track deliverables, and ensure timely follow-up.

Operational Support

  • Assist with project management tasks, tracking deadlines, and ensuring priorities are met.
  • Conduct research, compile data, and prepare briefing materials for decision-making.
  • Manage confidential and sensitive information with the highest level of discretion.

Relationship Management

  • Act as a liaison between the executive and internal teams, clients, partners, and other stakeholders.
  • Build and maintain strong professional relationships to support business objectives.

Qualifications

Required:

  • Proven experience (5+ years) as an Executive Assistant, Administrative Manager, or similar role supporting senior leadership.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills with the ability to multitask effectively.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, SharePoint, Planner).
  • High level of discretion, integrity, and professionalism.
